Job Description

We're Green Tree Event Consultants, a family-owned event management company based in Saco, Maine. We're growing — and as part of that growth, we're splitting one demanding role into two focused positions so each person can do their best work in the area they're actually great at. We're looking for the first of those two: a highly organized, detail-oriented Event Registration & Client Services Coordinator . This is a great role for someone who genuinely enjoys processing, customer service, keeping information organized, and making sure nothing falls through the cracks. You'll manage the administrative side of event registrations and take over the fulfillment process once an exhibitor or sponsor has committed to an event. This is not a sales or marketing position. It's an execution-focused role for someone who likes completing tasks, maintaining accurate records, following up on details, and providing excellent service — and who can keep their sense of humor when things get busy. The Schedule & Pay This position pays $25/hour . Hours flex significantly with our event calendar — typically running 5 to 20 hours a week depending on the season . Quieter stretches (like early winter) sit at the lower end; our busiest event months call for closer to the full 20 hours. We'll walk through the specific rhythm during the interview process so you know what to expect. Much of the day-to-day work can be performed remotely, with some in-office time required for meetings, training, event preparation and other team needs. Occasional travel, extended event days, evenings, weekends and overnight stays are required for assigned events. What You'll Do Registration & Attendee Management Build, test and maintain online registration sites Process registrations, changes, cancellations, transfers, refunds and discount codes Respond to attendee questions by email and phone Maintain accurate registration records Monitor registration activity and provide reports as requested Identify missing information and outstanding payments and follow up as needed Reconcile registration and payment information with Accounting Assist with accounts receivable follow-up Prepare attendee lists, badges, reports and other registration materials Prepare registration systems and materials for onsite use Exhibitor & Sponsor Fulfillment Once our sales team closes an exhibitor or sponsorship sale, you'll take over the administrative process through the event: Send confirmations and welcome information Collect company information, logos, registrations, advertisements and other required materials Track deadlines and outstanding information Manage exhibitor and sponsor registrations and passes Send logistical and event information Respond to exhibitor and sponsor questions Maintain accurate records across multiple systems Update exhibitor and sponsor information on event websites Track purchased benefits and make sure each deliverable is completed Coordinate sponsor marketing benefits with the appropriate team member Coordinate signage, banners and other onsite benefits Reconcile sales, registration and payment information with Sales and Accounting Flag and help resolve discrepancies between systems Provide post-event follow-up as needed This position does not involve prospecting, cold calling or selling sponsorships and exhibit space. Onsite Event Role At assigned events, you'll primarily own the registration, check-in and transactional side of the attendee and exhibitor experience: Set up and organize registration/check-in Lead attendee check-in and troubleshoot registration issues Handle walk-ins, registration changes and payment questions Manage temporary registration/front desk staff when needed Answer attendee questions and provide friendly, professional customer service Support exhibitor and sponsor check-in Troubleshoot issues involving registrations, passes and purchased benefits Assist with general event setup, execution and breakdown as needed When things get busy, we need someone who can stay calm, friendly and organized while figuring out what needs to happen next. What We're Looking For You may be a great fit if you: Have exceptional attention to detail and follow-through Genuinely enjoy administrative and processing work Like maintaining lists, tracking deadlines and closing loops Are comfortable working with spreadsheets, databases and online systems Learn new technology quickly Have strong written and verbal communication skills Enjoy helping people and providing great customer service Can work independently without needing constant direction Notice when information doesn't match and want to figure out why Are comfortable working with financial information and basic reconciliations Can manage multiple projects and deadlines simultaneously Stay calm and professional when things get busy Are available for occasional travel, overnight stays and extended event days Experience with event registration, association administration, sales support, customer service, database management or event operations is helpful, but direct event industry experience is not required. More important is that you're organized, dependable, comfortable with technology, and the kind of person who likes making sure every detail is accounted for.
