Job Description

Position Summary :
The Program Associate position provides a variety of routine clerical functions within a behavioral health outpatient office setting. Works in a fast-paced environment that requires multitasking, excellent customer service, and interpersonal skills to greet clients and visitors promptly and courteously.
Work Schedule Requirements:
Work hours will vary to include some evenings and Saturday hours; Hours of operations will vary by location. This position will be responsible for providing coverage at other Outpatient clinics as needed.
Job Responsibilities and Performance Standards:
Performs duties in a fast-paced environment that requires multitasking, excellent customer service, interpersonal skills to greet clients and visitors promptly and courteously. Provides on site or remote coverage for other sites not designated as primary site as directed by supervisor. Assist clients with scheduling appointments. Check out clients who are in the office or have telehealth visits scheduled. Manages front-desk dashboard. Verify insurance and collect copays before visits, including scheduled telehealth appointments. Performs data entry, scanning, and downloading information into MyAvatar EHR. Responds timely to client questions and concerns. Attends agency meetings and completes required training. Monitors and responds to all emails and faxes. Completes intake point of entry/admissions. Handles medications at Outpatient Clinics delivered by courier from pharmacy; Pavilion has a pharmacy onsite for clients to pick up medications. Scan all completed assessments to clinicians. Completes Pre-service audits as directed by supervisor. Completes documentation of client contact in Front Desk General Telephone note. Completes all deposit paperwork and submits it to direct supervisor to provide second signature. Complies with policy and procedures related to leave and time keeping. Performs other duties as assigned.
Minimum Qualifications :
High school diploma or
GED AND 1
year of general office or administrative experience.
Preferred Qualifications:
Medical assist experience/background preferred Minimum 1 year experience working in a medical/behavioral health setting. Outgoing, engaging, and personable communication skills. Experience working in a medical or behavioral health office. Excellent computer skills including familiarity with Microsoft Word and Excel. Highly organized and detail oriented.
