Job Summary We are seeking a dynamic and dedicated Customer Service Representative to join our team! In this vital role, you will serve as the first point of contact for clients, providing exceptional support and ensuring their needs are met with professionalism and enthusiasm. Duties Manage multi-line phone systems to handle incoming calls promptly and courteously, directing calls accurately and professionally. Provide outstanding customer support by answering questions, resolving issues, and guiding clients through our services with clear communication. Maintain organized records using spreadsheets, data entry tools, and productivity software such as Microsoft Office and Google Workspace. Assist with office management tasks including filing, document proofreading, calendar management, and scheduling appointments. Utilize computer literacy and technical proficiency to update client information in QuickBooks and other client management systems efficiently. Support front desk operations by greeting visitors, managing office supplies, and ensuring a professional reception area. Handle clerical duties such as data entry, filing, proofreading documents, and maintaining accurate records to ensure smooth office operations. Experience Prior experience in customer service or front desk roles within an office environment is highly preferred. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software such as Google Workspace. Experience using multi-line phone systems and managing phone etiquette effectively. Bilingual skills are a strong plus for communicating with diverse clients. Knowledge of QuickBooks or bookkeeping experience is advantageous for handling client accounts or billing tasks. Strong organizational skills with the ability to manage calendars, prioritize tasks, and maintain attention to detail under pressure. Previous clerical or administrative experience in medical or dental reception is beneficial but not required; training will be provided for specific industry needs.
