Job Description

Job Summary We are seeking an energetic and highly organized Client Service Coordinator to join our dynamic team. In this vital role, you will serve as the first point of contact for clients and visitors, ensuring exceptional customer service and smooth office operations. Your proactive approach, combined with excellent communication skills, will help foster positive relationships and streamline administrative processes. This paid position offers an exciting opportunity to develop your office management expertise while supporting a vibrant professional environment. Duties Greet clients, visitors, and vendors warmly at the front desk, providing outstanding customer service and assistance. Manage multi-line phone systems efficiently, directing calls accurately and professionally. Handle appointment scheduling and calendar management using digital tools such as Google Workspace and Microsoft Office. Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications. Support office management tasks including supply ordering, mail distribution, and maintaining a tidy workspace. Assist with bookkeeping duties using QuickBooks or similar accounting software to support financial recordkeeping. Provide administrative support such as typing correspondence, managing emails, and supporting team members with personal assistant tasks. Requirements Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent phone etiquette and customer service skills; experience with multi-line phone systems preferred. Bilingual abilities are highly desirable to serve diverse client needs effectively. Familiarity with QuickBooks or other bookkeeping software is a plus. Strong computer literacy, including data entry, proofreading, and document management skills. Previous experience in front desk operations or medical/dental receptionist roles is advantageous. Exceptional time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
