Position Summary The Service Writer is responsible for serving as the primary point of contact between customers and the dealership's service department. This position coordinates trailer repairs and maintenance from initial customer check-in through completion, ensuring accurate estimates, clear communication, proper documentation, and customer satisfaction. Key Responsibilities Greet customers and determine their trailer service and repair needs. Write detailed repair orders based on customer concerns and technician findings. Inspect trailers with customers when necessary and document damage, defects, and requested repairs. Prepare accurate repair estimates, including parts, labor, shop supplies, and applicable fees. Obtain customer authorization before beginning additional or non-warranty repairs. Communicate repair status, delays, parts availability, and completion times to customers. Coordinate with service technicians, parts personnel, warranty administrators, and management. Review technician recommendations and explain required and recommended repairs to customers. Schedule service appointments and manage daily workflow to help maintain efficient shop operations. Verify completed repairs and ensure repair orders are accurate before vehicles/trailers are released. Maintain accurate customer, trailer, repair, and billing records. Assist with parts identification and sourcing when needed. Handle customer concerns professionally and escalate unresolved issues to management when appropriate. Promote preventive maintenance and additional services when appropriate. Collect payments and ensure invoices accurately reflect completed work. Maintain a clean, organized, and professional service counter and customer area. Qualifications Previous experience in a dealership, trailer, truck, automotive, RV, or heavy-equipment service environment preferred. Service writing, service advising, or parts experience preferred. Knowledge of trailers, towing equipment, brakes, axles, electrical systems, suspension, and general mechanical repairs is a plus. Strong customer service and communication skills. Ability to read and understand repair orders, estimates, parts information, and technical recommendations. Strong organizational and time-management skills. Basic computer skills and ability to learn dealership service software. Ability to work effectively with technicians, customers, vendors, and management. Valid driver's license required.
