Job Description
Prestige Wealth Management is growing, and we are looking for an exceptional Client Experience Specialist to join our team in Southlake. This is not a traditional receptionist or administrative assistant role. We are looking for someone who is warm, confident, organized, proactive, and genuinely enjoys helping people. This person will be the welcoming face and voice of Prestige Wealth Management and will play an important role in creating an exceptional experience for our clients and prospective clients from the moment they interact with our firm. The right person will also have significant opportunity to grow with Prestige. Depending on interests, strengths, and willingness to learn, this role can expand into client service, operations, financial planning support, marketing, industry designations, licensing, and other areas of wealth management. What You'll Do Client Experience & Front Office Serve as the primary point of contact at our Southlake office Warmly greet clients, prospects, vendors, and guests Answer incoming phone calls and help route client needs appropriately Maintain a professional, welcoming, organized front-office environment Prepare meeting rooms and help ensure clients have an exceptional in-office experience Client Communication & Follow-Up Make outbound calls to clients and prospects regarding follow-up items, upcoming meetings, paperwork, and next steps Help clients complete outstanding forms, questionnaires, and account paperwork Provide status updates on items our team is working on Assist with meeting confirmations, scheduling, and rescheduling Help coordinate client appreciation efforts, thank-you messages, welcome gifts, birthdays, and other important client touchpoints Client Service & Onboarding Support Assist our Client Operations Manager and service team with onboarding new clients Help gather and organize client information and required documentation Assist with updating client information in our CRM Support advisors with meeting preparation and follow-up Help ensure outstanding client service items are tracked and completed Team & Office Support Work closely with our advisors, Client Operations Manager, and Director of Operations Assist with special projects and firm initiatives Help identify opportunities to improve the client experience and internal processes Take ownership of responsibilities rather than waiting to be asked what needs to be done next What We're Looking For We care more about the person than a specific résumé.
