Client Service Associate -
Wealth Management/RIA Location:
Southlake, Texas Position:
Full-time, primarily in-office
Anticipated Starting Salary:
$60,000-$65,000 annually About the Opportunity An established independent financial-planning and Registered Investment Adviser firm is seeking an experienced Client Service Associate to provide exceptional administrative and operational support to our clients and advisory team. This is a client-facing position for a polished professional who combines excellent communication and mature judgment with meticulous attention to detail. The successful candidate will frequently interact with successful professionals, retirees, business owners, attorneys, CPAs, financial institutions, and other outside professionals. Our clients have entrusted us with important financial decisions and highly confidential information. We are looking for someone who treats that responsibility seriously, takes ownership of client requests, and takes pride in completing work correctly and professionally. This is not an entry-level position, a sales position, or a pathway requiring business development or prospecting. Key Responsibilities Serve as a welcoming, knowledgeable, and dependable point of contact for clients Communicate with clients professionally by telephone, email, and in person Prepare and process new-account, transfer, rollover, distribution, beneficiary, and account-maintenance paperwork Coordinate account openings and asset transfers with clients, custodians, insurance carriers, and other financial institutions Assist with IRA distributions, required minimum distributions, qualified charitable distributions, and other money-movement requests Track pending transactions and follow through until every item has been completed Review documents for missing information, inconsistencies, signatures, dates, and processing requirements before submission Maintain accurate client information, notes, documents, and outstanding tasks in the firm's CRM Schedule appointments and prepare advisors for client meetings Assemble meeting materials, financial documents, reports, forms, and follow-up correspondence Document and coordinate action items following client meetings Keep clients and advisors informed regarding the status of outstanding service requests Coordinate with attorneys, CPAs, insurance professionals, and other outside professionals when appropriate Assist with client events, educational workshops, and occasional seminar preparation Follow the firm's compliance, privacy, cybersecurity, and recordkeeping procedures Help improve administrative procedures and workflows as the firm continues to grow The Person We Are Looking For The ideal candidate: Communicates with confidence, warmth, and professionalism Demonstrates excellent judgment and complete discretion Possesses strong business etiquette and a polished professional presence Writes clear, concise, and grammatically correct emails and correspondence Is comfortable interacting with affluent clients and experienced professionals Can explain administrative requirements without sounding abrupt or overly technical Is exceptionally organized and naturally attentive to detail Takes pride in completing work correctly the first time Follows through without requiring repeated reminders Anticipates client and advisor needs rather than waiting to be directed at every step Pays close attention to names, dates, dollar amounts, signatures, and processing requirements Asks appropriate questions when instructions or information are unclear Can respectfully pursue clients, custodians, and team members when information or action is still needed Remains composed and solutions-oriented when a transaction becomes complicated Can manage multiple priorities without allowing important details to fall through the cracks Accepts direct feedback professionally and applies it constructively Values teamwork, accountability, stability, and high professional standards Understands that being pleasant is important, but exceptional service also requires accuracy, urgency, and follow-through Required Qualifications Bachelor's degree from an accredited college or university At least three years of administrative, operational, or client-service experience in financial services Experience working in an RIA, financial-planning firm, wealth-management practice, broker-dealer, bank, family office, or insurance organization Demonstrated experience communicating directly with clients in a professional environment Familiarity with financial account forms, custodial paperwork, rollovers, transfers, distributions, and account-maintenance requests Exceptional written and verbal communication skills Strong command of grammar, spelling, business correspondence, and telephone etiquette Strong proficiency with Microsoft Outlook, Word, Excel, electronic document systems, and CRM software Demonstrated ability to manage deadlines, prioritize assignments, and document completed work Ability to handle confidential personal and financial information with complete discretion Professional appearance and demeanor appropriate for a client-facing wealth-management practice Preferred Qualifications Degree in business, finance, accounting, economics, communications, or a related discipline Five or more years of directly relevant financial-services experience Experience supporting high-net-worth clients Experience with Fidelity, Schwab, National Financial Services, or comparable custodial platforms Experience with annuity and life-insurance carriers Familiarity with Salesforce, AllClients, or another financial-services CRM Experience with electronic-signature and document-management platforms Previous securities or insurance licensing, although licensing is not required Working Environment We are a small, growing firm with close client relationships and high professional standards. Compensation The anticipated starting salary is $60,000-$65,000 annually , depending on directly relevant financial-services experience, technical proficiency, communication skills, and the candidate's ability to assume client-service responsibilities with limited training. The firm conducts regular performance and compensation reviews and provides opportunities for increased responsibility and compensation based on demonstrated performance and professional growth.
