We're looking for a customer-focused, organized, and driven Service Advisor to serve as the communication bridge between our customers and our certified diesel technicians. Position Summary The Service Advisor is responsible for creating an exceptional customer experience while coordinating repairs from start to finish. This position manages customer communication, prepares estimates, schedules repairs, coordinates with technicians and the parts department, and ensures every repair is documented accurately and completed efficiently. Our Service Advisors don't just answer phones—they help customers make informed decisions while supporting the entire shop's success. Primary ResponsibilitiesCustomer Service Greet customers professionally in person and by phone. Gather complete customer, vehicle, and equipment information. Ask detailed diagnostic questions to accurately identify concerns. Set clear expectations regarding repair timelines and communication. Build long-term relationships through outstanding customer service. Service Coordination Open and manage repair orders in Fullbay. Create accurate estimates using technician recommendations and labor guides. Obtain customer approvals before work begins. Schedule work efficiently based on technician availability and shop capacity. Keep customers informed throughout the repair process. Shop Communication Communicate repair concerns clearly to technicians. Coordinate with the Parts Department to ensure parts availability. Work with management to prioritize emergency and fleet repairs. Monitor work in progress to minimize downtime and maximize shop efficiency. Administrative Duties Maintain complete and accurate repair documentation. Ensure technician notes are thorough before closing repair orders. Process invoices and collect customer payments. Maintain accurate customer records. Follow all company procedures for documentation and warranty claims. Sales & Customer Growth Identify maintenance opportunities that improve equipment reliability. Recommend preventative maintenance services. Promote fleet maintenance programs. Generate additional parts and service sales through customer education. Coordinate opportunities with the Outside Sales Team. Qualifications Excellent communication and customer service skills Strong organizational and multitasking abilities Ability to work in a fast-paced environment Mechanical aptitude or heavy-duty diesel knowledge preferred Computer proficiency Valid driver's license Positive attitude with a willingness to learn Preferred Experience Service advisor experience Heavy-duty truck or equipment industry experience Fleet maintenance knowledge Fullbay experience (preferred but not required) Parts or service estimating experience What Success Looks Like A successful
