Position Overview The Heavy Equipment Service Writer acts as the central liaison between service departments, ensuring clear communication and efficient coordination of all service and repair activities. This role manages the complete cycle of service administration—from initial service requests through repair completion, documentation, and internal follow-up. Success in this position requires strong communication skills, organizational accuracy, and a solid technical understanding of heavy equipment. Key Responsibilities Customer Service & Communication Translate customer-reported equipment issues into clear, accurate work orders for technicians. Consulting with technicians about needed repairs and alternatives that can be offered in place of expensive repairs Overseeing and managing the service center's workflow Administrative & Clerical Duties Open and update work orders within the service database. Prepare detailed cost estimates for labor, parts, and materials. Ensures accurate and complete documentation is submitted for warranty claims. Maintain organized service histories and customer records electronically. Provide support to technicians in preparing clear, accurate sales orders and documenting all relevant service writeups. Shop & Technician Coordination Collaborate with the Service Manager and technicians to maintain daily workflow. Dispatch field service technicians for off-site jobs and coordinate equipment pick-up/delivery. Work closely with the Parts Department to ensure timely ordering and availability of repair parts. Support departmental tasks such as inventory tracking and monitoring yard activity.
Qualifications & Skills Experience:
1-3+ years as a Service Writer/Advisor in heavy equipment, diesel, or related industry preferred.
Education:
High school diploma or equivalent required; post-secondary education in business or technical fields preferred.
Technical Knowledge:
Mechanical aptitude and familiarity with construction, agricultural, or industrial equipment essential.
Computer Skills:
Proficient in Microsoft Office (Word, Excel, Outlook) with ability to learn service management software.
Customer Service:
Strong interpersonal, written, and verbal communication skills; proven ability to resolve customer issues effectively.
Organizational Skills:
Skilled in multitasking, prioritizing workloads, and meeting deadlines with attention to detail.
Physical Requirements:
Must be able to move throughout service shops and yards; occasional exposure to noise, dirt, and fumes; ability to lift up to 50 lbs.
