Customer, Office and Operational Support Full Time /

Part Time Job Description:

Northwest LED Lighting is a small, fast-growing manufacturer of custom linear LED Lighting Fixtures. We strive to provide environmentally responsible lighting products to our customers while exceeding their expectations with quality products and excellent service. The Customer, Office and Operational Support position works side by side with management and staff to ensure accurate and timely processing of customer orders and provide other office and operational support as required. Position requires ability to multi-task and assist where needed to serve our customers. Primary Duties - Office Support and Customer Service Answer phone calls and customer questions. Take phone orders and quote requests. Monitor company email and telephone. Answer or redirect emails and calls as appropriate. Backup Customer Service staff with customer quotations, order processing and order entry into QuickBooks. Review, send, and file customer invoices and production paperwork. Process incoming customer payments. Send monthly statements and payment receipts. Enter orders into order tracking software, update as orders are processed. Enter purchase orders into QuickBooks, process receiving records and vendor invoices. Enter customer records and contact information into CRM Software. Support managers with correspondence, filing, and projects as directed. Interface with occasional walk-in customers, delivery drivers and will call customers. Set up new customer files, enter information into QuickBooks. Track & request customer resale certificates. Primary Duties - Operations Support & Quality Control.

Including but not limited to:

After training, test and inspect lighting products to verify they are correct in all details and meet quality standards. Note production irregularities and follow up with production staff for appropriate rework. Label fixtures and LED ribbon products with the correct certification and identification labels as required. Package & label orders with customer information for delivery or shipping. Include all required instructions and parts. Weigh, measure and securely pack orders & products for shipment or delivery. Create and print accurate shipping labels using the appropriate shipping software. Restock required product components, accessories, paperwork and packing materials. Notify managers of impending shortages. Assist with inventory counting and stocking activities.

Skills and training requirements:

Strong computer & Windows proficiency, including Microsoft Office-particularly Word and Excel are required . QuickBooks experience preferred. Ability to work independently with minimal supervision. Experience with shipping and labelling software or ability to learn these programs. Excellent written and verbal communication skills. Must speak and write English fluently. Excellent attention to detail. Must be able to recognize small differences in part numbers and product details. General knowledge of the building and remodeling industry is helpful. Desire to take ownership of projects and assigned tasks. Willingness to work with others to get the job done. Ability to occasionally lift up to 30 pounds. High School Diploma or equivalent required. Trade, college, or computer training preferred.
