Job Description
Leonard Rickey Investment Advisors Locally owned, fiduciary-only, registered investment advisory firm, with over 100 years of combined investment experience and over $900 million in assets under management. We help guide financial decisions to keep our clients on the best path forward. The Client Service Assistant in our Yakima Office is an integral part of our team, working closely alongside our Investment Advisor Reps (IAR) to serve and support our clients. This person helps answer incoming client calls and emails, proactively calls clients, and plays an active role in nurturing ongoing client relationships. They take ownership and responsibility for our clients' experience and are a trusted point of contact. We're looking for someone who wants to build a long-term career here, values growth, and builds lasting relationships. This person must also be comfortable with technology and able to quickly adapt to new systems, software, and procedures as they evolve. Responsibilities Welcome clients upon arrival at the office and direct them where they need to be. Answer incoming calls and respond to client inquiries; ensuring all requests are responded to in a timely manner, accurately logged, and tasks are created to ensure appropriate follow-up. Communicate client questions, concerns, and needs to the IAR, and help nurture the ongoing client relationship. Complete account-related tasks, including account setup, changes to existing accounts, and closing accounts. Process client deposits and withdrawal requests; direct to IAR as needed. Set up new and prospective client contacts in Salesforce. Work alongside the advisor to onboard new clients, including preparing new client account paperwork ahead of account opening appointments, whether in paper or digitally. Track all inbound transfers to ensure they are completed accurately and in full. Image, file, upload client documents and send notification to IAR upon completion. Maintain large amounts of complex and confidential information and ensure data integrity. Provide ongoing support to IAR and management with administrative tasks; including but not limited to calendaring, scheduling, and reporting. Manage day-to-day office operations, systems, programs, and procedures. Prepare mailings and other communications. Assist with client events. Complete all required training in a timely manner and any additional training needed to be up to date and more effective with responsibilities. Other duties as assigned. Required Knowledge, Skills, and Abilities Ability and interest in learning about personal finance Ability to deliver excellent customer service to clients by phone, email, and in person Ability to handle confidential and sensitive information with a high level of professionalism and composure Detail-oriented and able to accomplish a wide variety of tasks in a fast-paced environment Ability to quickly build relationships; understand and analyze customer needs Strong active listening and problem-solving skills Highly motivated; ability to learn and master new tasks quickly Ability to balance multiple priorities and meet deadlines Excellent communication and interpersonal skills, including the ability to communicate effectively to both technical & non-technical audiences Ability to work both independently and as part of a team Proficiency in Microsoft Office Suite and comfortable learning new systems and programs Strong organization skills and time management skills
Minimum Requirements Education:
High school diploma required, bachelor's or vocational degree preferredExperience:
