Position Summary Reporting to the Customer Service Manager, the Reception & Customer Support Specialist is responsible for providing exceptional customer service while serving as the first point of contact for the company. This role combines reception, customer support and administrative coordination. The ideal candidate is organized, detail-oriented, bilingual (English/Spanish), and enjoys working in a fast-paced manufacturing environment where no two days are the same. Responsibilities include Welcome visitors and professionally manage the front reception area. Answer and direct incoming telephone calls, emails, and customer inquiries with exceptional service. Provide bilingual (English/Spanish) support to customers, vendors, and visitors as needed. Coordinate communication between customers and internal departments including Sales, Engineering, Purchasing, Operations, Shipping, and Accounting. Assist with daily administrative paperwork, incoming and outgoing mail, shipping activities, and general office operations. Monitor and follow up on customer requests, requests for quotation (RFQs), and special customer initiatives to ensure timely completion. Support the Customer Service and Sales teams by maintaining accurate records, correcting order or reporting discrepancies, and assisting with customer account documentation. Assist in resolving customer concerns, freight invoice discrepancies, credit requests, and shipment issues while maintaining a high level of customer satisfaction. Generate and maintain routine reports, including customer service metrics and operational reports. Support recruiting activities by assisting with interview scheduling and candidate hospitality. Collaborate with multiple departments to improve processes and ensure a seamless customer experience. Perform other administrative duties and special projects as assigned. Required Experience
- 3-5 years of customer service, receptionist, administrative support, or office coordination experience.
- Manufacturing or business-to-business customer service experience preferred.
- Previous experience supporting multiple departments in a fast-paced office environment.
- Fluent in both English and Spanish (required).
- Strong communication, organization, and multitasking skills.
- Professional demeanor with a positive, customer-first attitude.
- Proficient with Microsoft Office and comfortable learning ERP/business Skills & Abilities Fluent in both English and Spanish (required).
- High School Diploma or GED required.
- Additional education in business, communications, or customer service is a plus.
