Cannabis Operations & Production Planning Manager Job Overview We are looking for an exceptionally organized, proactive, analytical, and self-directed operations leader to manage both the production floor and the systems behind it . This is not a position for someone who waits to be told what needs to be done. The right person will take ownership of the weekly operating plan, stay several steps ahead of production needs, keep multiple departments coordinated, maintain accurate data and documentation, identify problems early, and follow issues through to completion. You will be responsible for converting harvest forecasts, inventory, labor availability, production capacity, and weekly order requirements into a clear and executable operating plan across: Cultivation - Flower & Veg Harvest Buck / Post-Harvest Trim Grading Pack-Out / Finished Goods You will also own the operational systems that support those departments, including inventory, purchasing, labor analysis, production reporting, compliance documentation, SOPs, quality control, and process improvement. This position requires someone who can comfortably move between people, production, spreadsheets, deadlines, and problem-solving throughout the day. The Person We Need Being highly organized and self-motivated is a core requirement of this position , not simply a preferred personality trait.

Follows assignments and issues through to completion without repeated reminders. Communicates early when something may affect production, quality, staffing, inventory, or deadlines. Can independently determine what needs attention next. Works with urgency while maintaining accuracy. Keeps data, documents, workspaces, schedules, and operational systems organized. Is comfortable being accountable for deadlines and measurable results. If you perform best when you are given detailed daily direction or frequent reminders about priorities and follow-up, this is likely not the right position for you . Key Responsibilities 1. Production Planning, Forecasting & Weekly Execution Own the production plan from cultivation through finished goods. Develop and maintain rolling demand forecasts, production forecasts, and capacity plans. Translate forecasted harvest volumes, inventory requirements, labor availability, and order demand into clear weekly and daily production schedules. Maintain production timelines from harvest calendar through post-harvest, trim, grading, and pack-out. Ensure weekly production plans support on-time, in-full order fulfillment. Establish daily and weekly priorities for each operational department. Coordinate pack-out priorities and shipment readiness. Monitor progress against the plan throughout the week and make adjustments when yields, staffing, quality holds, equipment downtime, inventory, or priorities change. Identify bottlenecks before they disrupt downstream departments. Lead cross-department production meetings and ensure action items are completed. Confirm departments have the labor, tools, materials, labels, documentation, and other inputs needed before work begins. The expectation is not simply to create a schedule—it is to actively manage execution against that schedule . 2. Department Oversight Cultivation - Flower & Veg Coordinate schedules with the harvest calendar, forecasted demand, labor capacity, and downstream production needs. Monitor readiness for upcoming harvests and communicate changes that may affect post-harvest production. Ensure appropriate staffing, materials, tools, and operational inputs are available. Maintain coordination between cultivation and post-harvest so product moves efficiently through the facility. Trim Develop daily and weekly strain schedules. Determine staffing needs and expected work hours based on production requirements. Monitor throughput against targets. Oversee department managers and ensure priorities are clearly communicated. Maintain trim quality standards for appearance, consistency, contamination prevention, and product specifications. Ensure finished product reaches grading and pack-out according to schedule. Buck & Post-Harvest Establish daily and weekly workflows. Coordinate product movement between harvest, bucking, post-harvest, trim, grading, and finished goods. Ensure tools, labels, bins, paperwork, and work areas are prepared before production begins. Maintain grading and product-handling standards. Ensure finished pounds are prepared according to weekly production and order requirements. 3. Quality Control Own quality checkpoints throughout the production process. Establish and enforce quality standards at cultivation, harvest, buck, trim, grading, and pack-out. Maintain consistent

grading standards. Verify product meets specifications before advancing to the next production stage. Monitor sanitation, contamination prevention, product handling, and SOP compliance. Investigate quality problems and determine root causes. Implement corrective actions and retraining when needed. Track recurring quality issues and recommend process improvements. 4. Inventory Management Maintain accurate operational inventory across departments. Monitor inventory movement and handoffs between departments. Perform or oversee required daily and weekly reconciliations. Investigate and resolve discrepancies promptly. Ensure bins, labels, logs, weights, and supporting documentation are accurate. Maintain inventory trackers and systems that support forecasting, purchasing, production planning, and fulfillment. Identify inventory risks before they affect production or orders. 5. Purchasing & Cost Optimization Own routine operational purchasing and supply readiness. Determine purchasing needs based on production schedules and inventory levels. Place orders and monitor vendor lead times. Maintain reorder points where appropriate. Coordinate receiving and verify quantities and invoice accuracy. Maintain organized vendor lists, product specifications, pricing information, and purchasing records. Evaluate alternative products, vendors, and methods when cost savings are available. Identify unnecessary spending, waste, duplicate purchases, and inefficient processes. Recommend cost-effective solutions without compromising quality or compliance. 6. Data Systems, Google Workspace & Reporting This position requires strong systems and spreadsheet skills. Build, maintain, and continuously improve operational systems using Google Sheets, Docs, Drive, and Calendar. Maintain production schedules, inventory trackers, labor reports, purchasing records, forecasts, costing tools, and management reports. Create standardized operational documents such as harvest recording sheets, bin labels, inventory sheets, trim logs, production logs, and other department materials. Develop dashboards and scorecards that make operational performance easy to understand. Maintain accurate and organized shared files so information can be quickly located. Eliminate unnecessary duplicate entry and inefficient manual processes where possible. Maintain a consistent weekly reporting cadence for leadership. 7. Labor Costing, KPIs & Executive Recommendations Use operational data to help leadership make better decisions. Calculate department labor costs, including hours, headcount, overtime, and other relevant production inputs. Monitor production costs and operating efficiency.
Track KPIs such as:
Throughput Labor efficiency Schedule adherence On-time, in-full fulfillment Yield Quality / rework Production variance Inventory accuracy Identify meaningful variances and explain why they occurred. Present clear recommendations to leadership regarding staffing, scheduling, productivity, cost reduction, and operational improvements. Turn data into actionable decisions rather than simply reporting numbers. 8. Compliance, Documentation & Inspection Readiness Maintain organized and inspection-ready operational documentation. Ensure required facility documentation is accurate, current, and accessible. Maintain working knowledge of applicable DCC, State, County, and cannabis recordkeeping requirements. Maintain a working understanding of METRC and its relationship to operational inventory and compliance. Maintain organized document control and versioning within Google Drive. Ensure required records can be retrieved quickly during an inspection or audit. Identify documentation gaps and correct them proactively. 9. Tools, Maintenance, Safety & Sanitation Coordinate preventative maintenance and equipment readiness. Identify potential equipment or tool issues before they create production delays. Ensure departments have the tools necessary to complete scheduled work. Maintain organized workspaces using a 5S / continuous-improvement mindset. Enforce safety protocols, PPE requirements, sanitation standards, and operational procedures. 10. People Leadership Lead managers and employees with clear expectations and accountability. Participate in recruiting, interviewing, hiring, and onboarding operations employees. Ensure applicable employment eligibility, age, badging, background, or other requirements are satisfied. Set clear performance expectations. Coach employees and managers when expectations are not being met. Address attendance, performance, communication, workflow, and behavioral issues promptly. Assist with corrective action and conflict resolution in coordination with ownership/HR. Maintain appropriate documentation. Develop, maintain, and improve SOPs. Train employees to established procedures and verify that procedures are being followed. 11. Continuous Improvement, AI & Automation We want someone who actively looks for better ways to operate. Identify repetitive, inefficient, or error-prone processes. Use process mapping, root-cause analysis, and operational data to improve workflows. Evaluate AI and automation tools where they can reduce manual work, improve reporting, or increase accuracy. Build or recommend automations using tools such as advanced Google Sheets, Apps Script, Zapier, Make, or similar platforms when appropriate. Maintain appropriate controls to protect data integrity and regulatory compliance. Measure whether implemented improvements actually produce better results. Required Qualifications We are looking for candidates who can demonstrate specific examples of organization, production planning, operational ownership, and process improvement.
Successful candidates should have:
Experience managing operations in a production, manufacturing, cultivation, agricultural, or post-harvest environment. Cannabis operations experience strongly preferred. Experience coordinating multiple departments or production stages simultaneously. Demonstrated experience developing production forecasts, capacity plans, timelines, or weekly production schedules. Strong organizational and time-management skills. Proven ability to work independently and manage priorities without continuous supervision. Strong follow-through and attention to detail. High proficiency with Google Sheets, including formulas, structured trackers, reporting, and data analysis. Experience managing inventory and resolving discrepancies. Experience with purchasing, vendor coordination, and cost analysis. Experience establishing or enforcing quality-control procedures and SOPs. Strong analytical and problem-solving ability. Experience managing, training, coaching, and holding employees accountable. Ability to communicate clearly with both production employees and executive leadership. Ability to operate effectively when priorities or production conditions change unexpectedly. Strongly Preferred Cultivation and post-harvest cannabis experience. METRC experience. Advanced Google Sheets. Dashboard development. Google Apps Script. Zapier, Make, or similar automation tools. Production or demand forecasting. Capacity planning. Labor-cost analysis. 5S or Lean / continuous-improvement experience. Process mapping. Root-cause analysis. What Success Looks Like A successful person in this position will create an operation where: Everyone knows what needs to be produced today and this week. Production schedules are realistic and based on actual capacity. Problems are identified early rather than after a deadline is missed. Managers receive clear priorities. Inventory numbers are accurate. Materials are ordered before they become urgent. Production documents are prepared before departments need them. Leadership can quickly see whether production is ahead, behind, or on plan. Labor and production costs are understood. Quality standards are consistent. Compliance records are organized and inspection-ready. Operational issues are followed through until they are resolved. Processes become more efficient over time. Most importantly, leadership should not need to continuously remind this person what needs to be done, what is due, or what still requires follow-up.
