JOB TITLE

Title I Coordinator/Curriculum Administrative Assistant

CLASSIFICATION

Classified Non-Exempt

PAY RANGE 22

$24.27 to $25.37 (Based on Education & Experience)

LENGTH:

260 days/year (This position works year-round)

LOCATION

REPORTS TO

Assistant Superintendent of Elementary Schools

SUMMARY:

Maintains files and documents for Title activities and provides secretarial services for Elementary Curriculum Department by performing the following duties.

QUALIFICATIONS

Experience

  • A minimum of two (2) years' administrative, compliance, accounting/bookkeeping or secretarial experience is required;
    Education
  • an Associate or Bachelor's degree in Business or another related field preferred.
    Compliance
  • knowledge of grant compliance requirements to include Title I, II, III, & IV and an understanding of the IDOE grant guidelines.
    Customer Service
  • must have strong verbal and written communication skills with the ability to communicate effectively with sensitive information and confidentially across all levels of an organization. Detail oriented and maintains accuracy with a strong sense of urgency while working on multiple tasks simultaneously.
    Technology
  • must have proficient skills in use of office computer technology including Microsoft Suite and G-Suite.
RESPONSIBILITIES

Maintain comprehensive records for Title and elementary school activities; assist with grant writing, reporting, and updating Title compliance information on the district website.

Facilitate required consultations with non-public schools regarding Title services, schedule meetings, and prepare necessary documentation.

Calculate, track, and monitor all Title expenditures and equitable share allocations for participating non-public schools.

Process Title payroll; monitor payroll distribution reports to make sure correct Title staff are being paid out of Title funds.

Create and manage databases for High Ability Magnet Schools, coordinate and execute parent notification letters.

Coordinate early entry into kindergarten screenings.

Coordinate yearly elementary textbook and curriculum orders (including but not limited to DRA2 materials and "My Community" books); track ASC warehouse elementary curriculum inventory and replenish classroom instructional supplies as needed.

Support the planning and execution of elementary district events, including the Elementary Science Fair, Elementary Art Show, Trunk-or-Treat, and the Retired Principals Breakfast.

Collaborate and coordinate with IUS Financial Aid in the placement of IUS Work-Study students.

Coordinate elementary field trips in collaboration with the Education Foundation.

Post school supply lists to the district website.

Generate and track purchase orders for Title, the elementary curriculum department, and individual elementary schools; monitor account balances and budget lines.

Process payroll timecards, reimbursement requests, credit card purchases, and quarterly mileage submissions.

Provide general secretarial support, including scheduling department meetings, managing master calendar entries, arranging business travel, typing correspondence, and maintaining files.

Answer incoming telephone calls, determine the purpose of callers, assist caller or forward calls to appropriate personnel. Opens and routes incoming mail;

Performs other related duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand, walk, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 40 pounds.

The employee shall remain free of any alcohol or nonprescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
