: Non-ExemptPOSITION OBJECTIVE
: Middle school registrars are responsible for the overall monitoring and maintenance of student attendance, enrollment, and academic records, certifying compliance with statutory and districting guidelines.DUTIES & RESPONSIBILITIES
: (These duties are a representative sample; position assignments may vary.) 1. Support mission, core values, and goals of the district. 2. Register and enroll new students, collecting all required documents. 3. Provide paperwork to appropriate staff for students with IEPs or 504 Plans. 4. Process open enrollments, both in and out of District. 5. Enter all student information into the student information system consistent with state business rules and district requirements. 6. Submit and fulfill student records requests. 7. Track 10-day drops by having teachers verify class rosters. 8. Collect 45-day screenings. 9. Process student withdrawals and inform appropriate staff that student is being withdrawn. 10. Update and track information changes in the student information system such as address, phone numbers, or emergency contacts. 11. Track where exited students enroll. 12. Collect, record, and submit accurate attendance in the student information system. 13. Document all student absence information and maintain daily student sign-in and sign-out sheets for audit purposes. 14. Ensure all students are accounted for each day according to statutory requirements. 15. Verify attendance is taken twice daily. 16. Notify parents of student absences. 17. Respond to parent, student, and community inquiries regarding attendance policies and procedures. 18. Provide attendance and enrollment reports to teachers, administrators, and district staff. 19. Generate truancy reports and notifications. 20. Verify that all teachers have posted all grades during the grading window. 21. Collect hard copy grade books at year-end. 22. Review cumulative files for all incoming students to ensure all required documents are included. 23. Periodically audit student cumulative files. 24. Annually update student cumulative files with transcript of final grades, standardized assessment results, a summary of attendance, updated immunization records (if applicable), open enrollment forms, and re-enrollment forms. 25. Due to the potential for access to confidential student information, it is mandatory that this position safeguard and maintain the confidentiality of the information stored and discussed in the school. 26. Perform other duties as assigned.EDUCATION & EXPERIENCE
: (positions in this class typically require): Education- Minimum High School Diploma or equivalent. Experience
- Three years clerical and record keeping experience required.
- Data entry experience preferred. High level of data entry accuracy required.
- Prefer student information system software experience.
