Part-time, approximately 24 hours per week
Schedule:
Sunday is a required work day Purpose Refuge Christian Fellowship is seeking a part-time Church Administrator to oversee the administrative and operational needs of the church. This role supports staff, elders, ministry leaders, and volunteers by keeping calendars, facilities, systems, communications, and follow-up organized and running smoothly. This is both an administrative and ministry role. The Church Administrator should serve with humility, sound judgment, initiative, and a desire to support the church and its people well.
Responsibilities:
Sunday Gatherings
  • Coordinate administrative and production logistics for Sunday gatherings in partnership with ministry leaders.
  • Be on-site Sundays as a point of contact for service teams and troubleshooting.
  • Prepare weekly announcements and coordinate guest speakers, special announcements, and other changes to the normal Sunday format. Operations & Facilities
  • Serve as the primary contact for facility needs, maintenance, repairs, vendors, and service providers.
  • Own and maintain the master church calendar for services, events, room use, and major annual activities.
  • Maintain visibility of staff and key volunteer schedules and help identify coverage gaps.
  • Coordinate building security, keys, alarm codes, and facility access.
  • Manage office supplies and routine vendor relationships. People & Ministry Support
  • Enter first-time visitors into Planning Center and coordinate timely follow-up.
  • Coordinate baptisms, baby dedications, and other ministry logistics.
  • Help connect people with community groups, membership, and serving opportunities and route pastoral care needs to church leadership.
  • Manage the church's general inbox and route inquiries and form submissions appropriately.
  • Serve as a point of contact for volunteer-led ministries without a staff or elder lead.
  • Provide administrative support and basic coaching to ministry leaders and communicate ministry needs and team health to church leadership. Systems & Scheduling
  • Administer Planning Center, including accounts, service planning, check-ins, scheduling, and data accuracy.
  • Provide oversight of volunteer scheduling across ministries and identify coverage gaps.
  • Develop and improve simple administrative systems, workflows, forms, contact lists, sign-ups, and filing processes. Communications & Digital
  • Manage church-wide emails, newsletters, announcements, slides, and service materials.
  • Maintain a clear process for communication, graphic, and announcement requests from ministry leaders.
  • Oversee social media, website content, and podcast publishing. Leadership & Administrative Support
  • Coordinate staff, elder, and ministry meetings, including scheduling, agendas, materials, and follow-up notes.
  • Attend weekly staff meetings and other leadership meetings as requested.
  • Serve as an administrative liaison to the Finance team/bookkeeper by routing invoices, reimbursements, and deposit information.
  • Assist with staff and volunteer onboarding, personnel files, and basic HR administration. Qualifications Spiritual Qualifications
  • This position serves as a Deacon at Refuge Christian Fellowship and is expected to meet the biblical qualifications for deacons outlined in 1 Timothy 3:8-13 and the expectations established in Refuge's governing documents.
  • Demonstrates a mature and growing relationship with Jesus Christ.
  • Affirms Refuge's Statement of Faith, mission, vision, and values.
  • Meets and continues to meet the biblical character qualifications of a deacon.
  • Is, or is willing to become, an active member of Refuge Christian Fellowship.
  • Leads with humility, integrity, wisdom, and a servant's heart. Experience & Skills
  • 2-3+ years of experience in administration, office management, operations, or a related role; church or nonprofit experience is a plus.
  • Strong organizational, written communication, and problem-solving skills.
  • Self-directed and able to prioritize multiple responsibilities with limited supervision.
  • Experience coordinating calendars, schedules, or multiple teams.
  • Comfort working with volunteers and ministry leaders across a variety of personalities and roles.
  • Proficiency with Google Workspace or Microsoft Office.
  • Planning Center (or similar church management software) experience strongly preferred.
