JOB GOAL
To assist the school administration in meeting the data reporting requirements of the school related to FTE, COE, IPEDS, WDIS, NRS, FOCUS, and FLDOE; including documentation of student enrollment, attendance, graduation, assessment, learning, completion, placement, and licensure data.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of federal, state and district rules, regulations and policies as they relate to job functions for reporting IPEDS data
  • Knowledge of regulations and policies as they relate to job functions for reporting COE data
  • Knowledge of regulations and policies as they relate to job functions for reporting data for Title IV (PELL) and Veterans Benefits
  • Superior organizational and problem-solving skills
  • Strong computer software (MS Office) skills
  • Experience working with database systems including FLDOE, ASIS, and WDIS automated student information database systems
  • Ability to read, comprehend and comply with federal and state laws, regulations and reporting requirements
  • Ability to interact effectively as a member of a team and work collaboratively with other departments
  • Ability to listen and respond proactively and positively to student and staff needs
  • Ability to work without close supervision and to set one's own priorities to meet reporting and program requirements and deadlines
RESPONSIBILITIES
  • Coordinates data entry and reporting with school and district administrative staff
  • Assists staff with the input and analysis of data and statistical information relevant to COE and WDIS
  • Tracks adult students' Satisfactory Academic Progress to drive decisions regarding testing and documentation for interventions
  • Responsible for complete and accurate files and paperwork
  • Responsible for assisting administration in the compilation and certification of IPEDS, WDIS, and COE data
  • Coordinates procedures for gathering, verifying, and reporting data for program funding through the ASIS and WDIS systems
  • Coordinates procedures for gathering, verifying, and reporting data for state and federal program audits
  • Supports the Student Services Director and Director with student enrollment, scheduling, attendance reporting, assessment reporting and completion, placement and licensure data
  • Ensures that the school/district has exception-free FTE, AGE and CTE audits and program reviews by keeping current with and implementing all Federal and State laws and regulations that pertain to the programs administered by the school Complete all training modules within 30 days of new or revised module becoming available related to WDIS, COE, FOCUS, and IPEDS
  • Attend necessary in-service training programs to maintain up-to-date information on database programs
  • Retrieve data as requested and format data for appropriate use
  • Assist the Director and staff to utilize database information in decision-making
  • Work in confidence with all sensitive information
  • Work closely with student services personnel to provide timely data needed in registration of students, grade reports, and test information
  • Perform Business Office/Student Services responsibilities as needed
  • Perform other incidental tasks consistent with the goals and objectives of the position and/or any other duties as assigned by the director or designee
  • Serve as the institution's primary IPEDS Coordinator, ensuring the accurate, timely, and compliant collection, reporting, and submission of all required Integrated Postsecondary Education Data System (IPEDS) data.
