To Be Determined Job Description Position Summary The Secretary to the Superintendent and Board of Education provides high-level administrative and confidential support to the Superintendent and serves as the recording secretary for the Board of Education. This position requires discretion, professionalism, and strong organizational skills, as this position regularly handles confidential information, coordinates Board meetings, and serves as a liaison between the Superintendent, Board members, district staff, and the public. Essential Duties and Responsibilities Superintendent Support Serves as a confidential administrative assistant to the Superintendent Serve as first point of contact for the Superintendent's office, greeting visitors and responding to inquiries from staff, parents, and community members Manage the Superintendent's calendar, appointments, and travel arrangements Screen and route phone calls, emails, and correspondence Maintain confidential records and information related to personnel, legal matters, and district operations. Coordinate communications between the Superintendent, district staff, administrators, community members, and external agencies. Prepare, proofread, and distribute letters, memos, reports, and other documents Coordinate meetings, conferences, and district events Attend Superintendent and leadership meetings as required to record accurate minutes Maintain accurate filing systems (electronic and paper) for correspondence, contracts, and reports Handle sensitive matters (e.g., personnel issues, legal correspondence, student records) with strict confidentiality Support special projects and district initiatives as assigned by the Superintendent Perform other related duties as assigned by the Superintendent Board of Education Support Plan and coordinate regular and special Board of Education meetings. Prepare and distribute meeting agendas and supporting documentation. Regular attendance at evening, special, committee and closed Board meetings to record accurate minutes. Coordinate Board member communications, training, elections, onboarding, and appointments as needed. Coordinate logistics for Board meetings, including room setup, notices, and public postings Maintain official Board records, resolutions, policies, and minutes. Ensure compliance with state open meetings laws, public records requirements, and district policies. Track Board policy revisions and maintain the official policy manual Knowledge, Skills, and Abilities Excellent written and verbal communication skills Strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and district software systems Ability to maintain strict confidentiality regarding sensitive district, personnel, and student matters Knowledge of applicable open meetings laws, public records laws, and school board governance procedures (or willingness to learn) Ability to work independently, prioritize tasks, and manage multiple deadlines Professional demeanor and strong interpersonal skills when interacting with Board members, staff, and the public Freedom of Information Act (FOIA) trained (or willingness to obtain) Notary Public certification preferred (or willingness to obtain)Position Type:
