Full Job Description Student Services Assistant Job Summary:
The Evening Student Services Assistant provides excellent customer service in support of our goals for our community music school. The primary responsibility of the Evening Student Services Assistant is to oversee general operations of the branch reception area. The reception area is the first point of contact for students, faculty, parents, and community members entering and contacting the music school facility. The Evening Student Services Assistant welcomes our guests, provides quality customer service, and facilitates the business needs of the RI Philharmonic Music School. This is a part-time, non-exempt position, Monday-Thursday 3-9 pm and Friday 3-7 pm.
Primary Responsibilities Include:
Customer Service and Administration
- Provide timely, quality service and an excellent experience to our customers
- Serve as a branch receptionist during coverage hours - welcome guests, transfer calls/take messages/answer questions/return calls, responds to inquiries, etc.
- Accept and process tuition payments made at the front desk, answers billing questions and print out information as needed for customers
- Update student contact information
- Accept information for Student Performance Hours
- Assist with Collections/Administrative Holds on accounts
- Assist Student Services team with re-registration process for classes and private lessons
- Provide support for faculty (make copies of administrative documents, distribute mail, etc.)
- Communicate reminders to faculty as needed for business operations
- Serve as a team member on the Education Team and contribute to the strategic planning for the Philharmonic Communication
- Collaborate with other Front Desk staff to communicate business needs to Student Services staff
- Monitor the check-in desk for teachers and students
- Relay student cancellations/absences messages to faculty
- Document No Call/No Show activities -
Asana & Email Qualifications:
- Proven experience in customer service
- Excellent written and verbal communication skills
- Organization skills
- Proficiency with Microsoft Office Suite. Experience with online database systems preferred.
- Must have reliable transportation
