Monday-Friday, 7:30 AM-3:30PM Starting Pay:
$22.00 per hour DutiesSchool Compliance & Documentation Track and coordinate Tennessee Category V non-public school compliance requirements, deadlines, inspections, and required documentation Maintain organized compliance records and assist school leadership with documents required by the Tennessee Department of Education and other applicable agencies Maintain accurate attendance documentation, enrollment records, student files, and other required administrative records Track school safety and operational documentation, including required drills, logs, and compliance checklists Monitor upcoming compliance deadlines and proactively notify leadership of missing documentation or required action items Parent & Student Communication Monitor the school email account and phone line and respond to families in a professional, timely, and welcoming manner Prepare and distribute parent newsletters, school reminders, announcements, calendars, and routine communications Support parent communication regarding attendance, school events, tuition, forms, and administrative needs Coordinate classroom photos and school updates shared with families while following privacy and consent requirements Serve as a professional and helpful point of contact for parents, staff, and community partners Admissions, Leads & Enrollment Monitor school inquiry and prospective-family lead dashboards and follow up with new leads promptly Assist with application tracking, school tours, observations, enrollment paperwork, and communication throughout the admissions process Maintain accurate enrollment and waitlist information and provide updates to school leadership Track and collect required enrollment documents and ensure records are properly organized and filed Help create a welcoming and efficient experience for prospective and newly enrolled families Attendance & Tuition Administration Monitor daily student attendance, tardies, absences, and check-in/check-out records Ensure required attendance documentation is complete and accurately maintained Follow up with families when attendance information or required documentation is missing Track tuition payments and professionally follow up on outstanding balances according to ACT Academy procedures Assist families with routine questions regarding tuition payment systems and school administrative processes School Operations & Scheduling Coordinate administrative scheduling related to school-based ABA services Communicate scheduling needs with appropriate clinical, ABA, and school team members Support daily office organization and help maintain effective communication among teachers, ABA staff, administrators, students, and families Assist with planning and organizing school events, professional development days, field trips, celebrations, and other activities Maintain school calendars, administrative checklists, dashboards, and recurring operational tasks Help identify administrative needs and address issues proactively to support smooth daily school operations Marketing & School Community Assist with approved ACT Academy social media content, including school updates, events, enrollment information, and positive school activities Help collect appropriate photos and information for school communications and social media while maintaining confidentiality and privacy requirements Support community outreach and communication efforts that promote ACT Academy and available enrollment opportunities Help highlight school activities and create positive communication with current and prospective families Skills & Qualifications Strong organizational skills with excellent attention to detail and follow-through Professional written and verbal communication skills Ability to communicate effectively and professionally with parents, students, teachers, clinical staff, administrators, community partners, and state or district representatives Ability to manage multiple priorities, recurring tasks, deadlines, and compliance requirements in a fast-paced environment Proficiency with email, shared calendars, spreadsheets, online dashboards, and common office technology Strong computer literacy and ability to learn new software and administrative systems quickly Ability to maintain strict confidentiality regarding student, family, employee, and clinical information Strong problem-solving skills and the ability to anticipate needs and take initiative without constant direction Dependable attendance and ability to consistently maintain the Monday-Friday, 7:30 AM-3:30 PM schedule Experience in a school, healthcare, behavioral health, childcare, or administrative setting is preferred Experience with enrollment, attendance, billing/tuition administration, compliance documentation, or scheduling is a plus Experience working with individuals with autism or other developmental disabilities is a plus Professional, compassionate, and
