Qualifications:
- High school diploma or equivalent required
- Associate's degree or higher preferred
- Minimum of three (3) years of administrative, clerical, office management, or related experience.
- Knowledge of Vermont education practices and school operations and/or experience working in a school setting preferred
- Ability to manage multiple priorities in a fast-paced environment with accuracy and attention to detail
- Ability to communicate effectively, both orally and in writing.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to work independently and collaboratively
- Demonstrated proficiency with Microsoft Office Suite, Google Workspace, and standard office technology.
- Strong organizational, interpersonal, and customer service skills.
- Experience with student information systems and electronic records management systems preferred
- Ability to manage multiple priorities in a fast-paced environment
- First Aid/CPR certification required (or the ability to obtain)

Position Summary:
The Administrative Assistant to the Elementary Principal provides administrative and operational support to the Principal and helps maintain a welcoming, organized, and efficient school environment. The position serves as the school registrar and a primary contact for students, families, staff, visitors, and community members. Responsibilities include student registration and records, attendance, communications, school programs, purchasing, staff and substitute support, and health and safety. The position requires strong organizational, communication, customer service, and technology skills, as well as professionalism, discretion, and sound judgment.
Performance Responsibilities:
Administrative and School Operations
- Provide comprehensive administrative and clerical support to the Principal, including calendar and meeting coordination, scheduling, correspondence, reports, communications, document preparation, and special projects.
- Serve as a primary point of contact for students, families, staff, visitors, and the public; manage office communications, visitors, mail, deliveries, and daily office operations.
- Maintain accurate, organized, and confidential physical and electronic records and manage office, school, and first-aid supplies.
- Coordinate routine facility, custodial, maintenance, transportation, and other operational needs and assist with school safety, security, emergency procedures, and crisis response.
- Support substitute coordination, employee onboarding, interviews, staff communications, and other personnel-related administrative functions as assigned.
- Utilize Google Workspace, PowerSchool, Frontline, Tyler/School ERP Pro, Zoom Phone, ParentSquare, Canva, SWIS, and other district-approved systems to support administrative, student, financial, communication, and operational functions.
- Process requisitions, purchase orders, invoices, reimbursements, budget documentation, Student Activity Account transactions, fees, and other financial records in accordance with district procedures.
- Coordinate school programs, activities, and events in collaboration with staff, families, WNESU departments, and community partners, including related logistics, registrations, forms, transportation, fees, equipment, communications, and chaperone requirements.
- Maintain social media updates.
School Registrar, Attendance and Student Support - Serve as the school registrar and oversee student registration, enrollment, transfers, withdrawals, and related documentation.
- Maintain accurate and confidential student records and enrollment information in PowerSchool and other required systems; coordinate records with other schools and districts and maintain required enrollment, demographic, testing, and end-of-year information.
- Coordinate out-of-district, tuition-choice, home study, kindergarten registration, and other enrollment processes as assigned.
- Oversee student attendance and daily procedures, including monitoring absences and tardies, managing arrivals, dismissals, sign-in/sign-out, and transportation changes, communicating with families, maintaining required documentation, completing state and federal reporting, and supporting student discipline.
- Distribute breakfast to all students from the breakfast cart and transport hot lunch from SRES once a week or as needed.
- Coordinate the winter sports program with mountain or recreation partners including transportation arrangements, schedules, sign ups and permissions and fee payments and communication with families, volunteers and chaperones
