Job Description

The Opportunity:
The Registrar's Office is a strategic hub for academic policy, data integrity, technological innovation, student service, and institutional effectiveness. Quincy University, a Catholic, Franciscan, and liberal arts institution emphasizing the development of servant leaders, invites applications to serve as the institution's next Registrar, to lead these critical efforts. Reporting to the Provost/Vice President for Academic Affairs, the Registrar is responsible for the integrity, accuracy, security, and appropriate use of academic records and provides leadership for registration, academic scheduling, grading, degree audit and conferral, transcripts and verifications, transfer credit, academic calendars, catalog and curriculum implementation, and related academic operations. This is a highly visible leadership role for a professional who can pair technical and regulatory expertise with strong judgment, collaborative leadership, and exceptional service. The successful candidate will help strengthen systems and processes, improve data quality and governance, support consistent academic policy implementation, and build productive partnerships across Academic Affairs and the University.
Responsibilities:
  • Strategic and day-to-day leadership of the Registrar's Office and its staff, service standards, priorities, and resources.
  • Accurate and secure academic records, registration, grading, transcripts, verifications, degree audit and conferral, transfer credit, course and classroom scheduling, academic calendars, and commencement certification.
  • Consistent interpretation and implementation of academic policies, curriculum changes, catalog requirements, and degree rules in partnership with faculty and academic leadership.
  • Institutional compliance related to FERPA, records privacy and retention, academic-record practices, and required enrollment/degree reporting.
  • Functional leadership for Jenzabar J1/J1 Web Registration and related Registrar technologies, with emphasis on data integrity, thoughtful automation, testing, documentation, and process improvement.
  • Cross-functional data stewardship and collaboration with Institutional Research, Information Technology, Admissions, Financial Aid, Athletics, Student Affairs, the Business Office, and other campus partners.
  • A culture of accuracy, accountability, professional development, continuous improvement, and student-centered service.
The Candidate:
Quincy University is seeking a Registrar professional who understands both the precision of the academic record and the broader institutional impact of the Registrar's Office. Strong candidates will bring progressively responsible higher education experience, a command of registrar operations and FERPA, comfort with complex student information systems and data, and the ability to lead people and change with clarity and professionalism.
Required Qualifications:
  • Bachelor's degree required.
  • At least five years of progressively responsible experience in a Registrar's Office, academic records, enrollment services, academic administration, or a closely related higher education function, including substantial responsibility for registrar functions.
  • Supervisory or team leadership experience.
  • Strong knowledge of academic records, registration, grading, degree certification, academic policy administration, and FERPA.
  • Experience with a student information system and demonstrated ability to work effectively with data, technology, reporting, and process improvement.
  • Excellent judgment, communication, organizational, analytical, and collaborative problem-solving skills.
Preferred Qualifications:
  • Master's Degree preferred.
  • Experience with Jenzabar or a comparable enterprise SIS, in a functional leadership role; experience with related catalog, transfer-articulation, workflow, degree-audit, and/or National Student Clearinghouse technologies.
  • Prior leadership experience at a private, comprehensive university.
  • Engagement with AACRAO, IACRAO, or another Registrar/enrollment services professional association.
  • Budget management experience.
Position Start Date:
Negotiable—December 2026 / January 2027.

Salary:
$70,000 - $80,000, depending on experience.

Quincy, Illinois :
Located in a tri-state area (Illinois, Missouri, and Iowa) on the banks of the Mississippi River, Quincy, Illinois is an affordable, family-friendly city of 40,000 residents with much to see and do! Quincy is rich in history, architecture, and cultural and recreational opportunities. St. Louis, MO is just over a 2-hour drive from Quincy.
