Job Description
HERE'S WHAT YOU NEED TO KNOW ABOUT THIS ROLE
YOU'LL BE…- Reporting directly to the Chief of Staff and seated in the Office of the Vice President for Student Affairs.
- Providing a high level of administrative support to the Office of the Vice President for Student Affairs. Specifically, to two VPSA Council members regularly, as well as the Vice President for Student Affairs, as needed.
- Practicing excellent customer service, ensuring that the office environment is welcoming and inclusive, and dealing with confidential and sensitive matters with the utmost discretion and tact.
- Serving as backup to the VPSA's Executive Assistant, as needed.
- Assuming responsibility for managing office communications, including emergency and maintenance matters as well as office functions and gatherings.
- Collaborating with a small team of undergraduate student fellows, interns, and employees who serve in reception and administrative support roles.
- Interacting extensively with senior divisional leadership, senior university administration, donors, students, and families. As a result, the Office Coordinator will need to exercise independent judgment and represent the office and the division in a professional and courteous manner.

Required Qualifications Prior professional administrative experience:- Facilitating meetings and events along with managing multiple electronic calendars.
- Drafting written correspondence with the ability to communicate in a professional, positive, and office-appropriate manner.
- Managing projects.
- With accounting processes and procedures including knowledge of general accounting principles (i.e. processing invoices, preparing travel vouchers, preparing spreadsheets, and processing reimbursements.)
- Operating computer systems such as Windows and Microsoft Office 365 Suite, with a strong proficiency in word processing, spreadsheet preparation and utilization.
Demonstrated ability to:
- Work independently with little supervision and operate within a team-based environment.
- Utilize strong organizational skills that include the ability to prioritize tasks, manage time effectively, and perform multiple functions simultaneously.
- Exercise strong communication and interpersonal skills.
- Work in an environment with a wide variety of stakeholders.
- Establish and maintain successful and effective relationships with wide variety of stakeholders.
- Employ a high degree of accuracy and attention to detail.
Preferred Qualifications Previous experience:
- As an administrative or executive assistant.
- With university systems like Banner, Emburse, Maxient, and/or HokieMart.
- In a higher education, nonprofit/philanthropic, or customer service setting.
Overtime Status Non-Exempt:
