  • Purchase supplies for the office and assist residencies, EOIs, special crews, and operations with purchasing and other duties.
  • Assist in monitoring expenditure by comparing expenditures/encumbrances with established guidelines.
  • Assist in the compilation of data and analysis to be used in the preparation of the regional maintenance budget submissions and capital program support of operations.
  • Prepare, coordinate, tracks, and assist with activities related to hiring and promoting employees.
  • Track shared service agreements with local municipalities and other agencies.
  • Assist with Snow & Ice agreements with local municipalities.
  • Assist in preparing annual work plans, objectives, and goals.
  • Prepare and edit draft correspondence and other documents.
  • Assist in reviewing, designing, and controlling various reporting forms.
  • Prepare, review, and analyze various reports, data, and other materials from programs such as Microsoft Excel & Word, SFS, LATS, HRIS, etc.
  • Serve as one MMS Help Coordinator and monitor the Regional MMS Help mailbox.
  • Assist in all facets of Accident Damage Recovery (ADR) and small claims, including obtaining accident reports, billing parties, tracking claims, processing payments, and providing program updates to operations group.
  • Answering inquiries/complaints (written and verbal) from all parties (traveling public, vehicle owners, insurance companies, etc.) involving damage to State or private property.
  • Submit IT requests for Operations staff.
  • Train and supervise staff. Responsibilities may include serving a role within the Incident Command System to support the department's response to regional and statewide emergency situations. Minimum QualificationsThis title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
  • To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open competitive minimum qualifications for this position.
The qualifications are:
Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment. Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law. Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under
NY HELPS
will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an
NY HELPS
