Job Description
Position Summary The Program Assistant & Receptionist serves as the first point of contact for participants, families, visitors, and referral partners while supporting the daily operation of the Adult Day Health & Wellness Center. This position combines front desk administrative responsibilities with assisting the activities team in planning, organizing, and facilitating engaging recreational, educational, social, and wellness programs for older adults and adults with disabilities. The ideal candidate is compassionate, organized, customer-service-oriented, and enjoys working in a fast-paced healthcare environment. Essential Duties & Responsibilities Welcome participants, families, visitors, and vendors in a professional and friendly manner. Answer and direct incoming phone calls. Schedule participant tours and appointments. Maintain participant sign-in/sign-out records. Verify attendance and maintain daily census reports. Assist with filing, scanning, copying, and organizing participant records. Maintain confidentiality of participant information in accordance with HIPAA regulations. Monitor office supplies and place supply requests as needed. Assist with data entry and documentation in the electronic health record (EHR) system. Coordinate incoming and outgoing mail and deliveries. Program & Activity Support Assist with implementing daily recreational, educational, fitness, and wellness activities. Encourage participant engagement and social interaction. Prepare activity materials and room setup. Assist participants during games, arts and crafts, music, exercise, celebrations, and special events. Support community outings when applicable. Help decorate the center for seasonal events and celebrations. Assist with participant recognition programs and birthdays. Monitor participant safety during activities and promptly report concerns. Participant Support Build positive relationships with participants and families. Provide excellent customer service. Assist participants with mobility during activities as appropriate (non-personal care unless trained and assigned). Observe participant behavior and communicate changes to nursing staff. Promote a welcoming, respectful, and inclusive environment. Additional Responsibilities Maintain clean and organized reception and activity areas. Assist other departments as needed. Attend required staff meetings and training sessions. Perform other duties assigned by management. Qualification Required High school diploma or GED. Minimum one (1) year of customer service, receptionist, healthcare, senior services, or administrative experience. Excellent verbal and written communication skills. Strong interpersonal and organizational skills. Proficient in Microsoft Office (Word, Excel, Outlook). Ability to multitask in a busy environment. Professional appearance and positive attitude. Ability to maintain confidentiality. Ability to work effectively with older adults and individuals with disabilities. Preferred Associate degree in Business, Healthcare Administration, Recreation, Human Services, or related field. Experience working in an Adult Day Center, Senior Center, Assisted Living, Skilled Nursing Facility, or healthcare office. Experience with electronic medical records (EMR/EHR). Bilingual or multilingual skills (preferred). Physical Requirements Ability to sit, stand, and walk for extended periods. Occasionally lift up to 25 pounds. Bend, reach, and assist with activity setup. Ability to safely escort participants throughout the facility. Ability to respond appropriately during emergencies.
