Job Description
SCOPE OF WORK
This position assists the Director of Extended Sites and the Associate Dean with administrative support ranging from complex to routine duties, all of which contribute to the efficient and professional operation of the Academics Department. The Program Assistant must have genuine appreciation for and understanding of protocol, discretion and professionalism, and be able to accept and assume responsibility.DUTIES AND RESPONSIBILITIES
Report to and work directly for the Director of Extended Sites and Associate Dean to ensure smooth management and operation of the Academics Department. Answer and screen calls and respond to email requests in a timely manner. Provide secretarial support to supervisor, coordinate office operation, and manage calendars and schedules to make certain that identified priorities are addressed in a timely manner. Follow up with appropriate staff to ensure requests and correspondence are responded to on a timely basis; establish tracking/feedback system to ensure issues are recorded, addressed and resolved, such weekly and quarterly Site/Academic meetings. Work with the Business Office to support Title III funded projects as needed. Arrange travel for faculty and staff as needed; prepare iteineraries, prepare and organize all background materials in advance, and get all necessary signatures. Assist in ensuring adherene to institutional procedures or funding agency guidelines regarding tasks such as budgeting, purchasing, and grant reporting. Prepare documents such as those related to travel, purchasing, budget, and event coordination. Maintain a common filing system, for example, for all course syllabi, grant files and budgets. Reconcile credit card statements, travel closing documents and other bills and receipts for submission to the Business Office in a timely manner. Maintain records regarding vacation and leave requests for staff who report to the Director of Extended Sites and the Associate Dean. Ensure a safe and healthy work environment by complying with the college health and safety policies. Other duties as appropriate assigned by supervisors, SUPERVISORYRESPONSIBILITIES

to perform this position successfully:Minimum Qualifications:
Associate's degree and 2 years of prior experience in the field. Excellent computer/technology skills Excellent communication, organizational and customer service skillsPreferred Qualifications:
Experience working in higher education and with grants. Experience working with cuff accounts. Experience with, and sensitivity to Native American people and dealing with the barriers of entering post-secondary education programsOther Qualifications:
Must have a current driver's license and a driving abstract that meets employer qualifications for insurability.Knowledge, Skills and Abilities:
Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.Reasoning Ability:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.Computer Skills:
To perform this job successfully, an individual should have knowledge of Cuff accounting software, design software, Internet software, order processing systems, spreadsheets, and word processing software.Other Skills and Abilities:
Ability to handle confidential and proprietary information with utmost discretion, judgement, respect, tact and poise. Ability to represent the College in a positive and professional manner. Ability to maintian professional work relationships. Ability to work under stressful situations. Must communicate well orally and in writing. Must have excellent interpersonal/people skills.
