ABOUT THE CLUB AT PRAIRIE FALLS
The Club at Prairie Falls is Post Falls' premier mini resort destination — the only venue in the Pacific Northwest offering an 18-hole championship golf course, 17 hotel suites, a full-service restaurant and bar, six state-of-the-art virtual golf simulator bays, and a 5,000+ square foot event center, all on one stunning campus. We are looking for an enthusiastic, detail-oriented Event Coordinator to join our team and help bring our clients' visions to life. In this role, you will serve as the primary point of contact for event clients — guiding them from initial inquiry through day-of execution. You will work closely with our restaurant, hotel, golf, and operations teams to ensure every event runs smoothly, reflects our brand, and exceeds guest expectations. This is a highly visible, hands-on role well suited for someone who thrives in a fast-paced hospitality environment and takes genuine pride in creating memorable moments.KEY RESPONSIBILITIES
Event Sales & Client Relations Respond promptly to event inquiries via phone, email, and walk-ins; conduct venue tours with prospective clients Consult with clients to understand their event vision, needs, and budget; develop customized proposals and event packages Prepare and execute event contracts, banquet event orders (BEOs), and invoices Maintain an organized client database and follow up on leads to maximize event center bookings Event Planning & Coordination Coordinate all logistical details including room setup, A/V, catering, décor, timelines, and vendor access Collaborate with the kitchen and bar team on food and beverage menus, tastings, and dietary accommodations Liaise with external vendors (florists, photographers, DJs, rental companies, etc.) to ensure seamless integration Develop and distribute detailed event timelines and floor plans to all relevant departments Serve as the primary on-site contact throughout each event, ensuring execution aligns with the client's vision and venue standards Internal Collaboration Partner with golf operations staff to coordinate tournaments, scrambles, and golf-related events; work directly with the Golf Pro on simulator and course availability scheduling Work with the hotel team to arrange room blocks and guest accommodations tied to events Collaborate with outside sales on referred leads, ensuring a smooth handoff and consistent client experience Conduct BEO (Banquet Event Order) meetings to brief all applicable departments — kitchen, bar, hotel, and golf — on new, upcoming, and updated events Administrative & Marketing Support Maintain the event calendar and ensure accurate scheduling across all venue spaces Track event revenue, expenses, and post-event feedback; report outcomes to management Assist with promoting events through social media, email newsletters, hosting vendor booths at relevant expos, and community outreach as needed Continuously identify opportunities to upsell venue services and enhance the guest experienceQUALIFICATIONS
Required 2+ years of experience in event coordination, hospitality, catering sales, or a related field Exceptional organizational skills with the ability to manage multiple events and deadlines simultaneously Strong interpersonal and communication skills; comfortable presenting to clients and public speaking Proficiency with Google Drive (Docs, Sheets, Gmail) and comfort learning new platforms; experience with Monday.com or similar project management and CRM tools is a plus Ability to work flexible hours including evenings, weekends, and holidays as events require Valid driver's license Preferred Experience with wedding coordination, corporate event planning, or golf club operations Familiarity with point-of-sale or event management platforms (e.g., Tripleseat, Planning Pod, or similar) Experience in a multi-use venue or resort environment Associate's or Bachelor's degree in Hospitality, Event Management, Marketing, or related fieldCOMPENSATION & BENEFITS
