Based on experience; hourly or salaried Position Summary Bonaparte Castle Events, Inc. is seeking a highly organized, creative, and client-focused Events & Marketing Assistant to support the operational execution and marketing growth of the historic Bonaparte Castle brand. This role combines event coordination, digital marketing, lead management, and client relations into one dynamic hospitality-focused position. The Events & Marketing Assistant will serve as one of the primary front-facing representatives of Bonaparte Castle by managing inbound inquiries, coordinating venue tours, supporting event logistics, and maintaining the property's digital marketing presence across the website, social media platforms, and wedding marketing platforms such as Zola. This individual must be detail-oriented, responsive, professional, and capable of balancing hospitality operations with marketing and administrative responsibilities in a fast-paced boutique event environment. Key ResponsibilitiesEvent Planning & Execution
  • Support coordination of weddings, private parties, corporate gatherings, styled shoots, pop-up events, and special experiences hosted at Bonaparte Castle
  • Assist with event timelines, logistics coordination, vendor communication, setup schedules, and operational execution
  • Utilize ClickUp to manage planning tasks, deadlines, approvals, event milestones, and internal coordination
  • Attend events as needed to assist with setup, guest coordination, vendor arrivals, event flow management, and post-event breakdown
  • Assist in maintaining venue readiness and presentation standards prior to scheduled tours and events
  • Coordinate with bartenders, catering teams, photographers, DJs, planners, and other vendors to ensure seamless event execution Lead Management & Client Relations
  • Serve as one of the primary points of contact for inbound event inquiries generated through the website, Zola, social media, CloudBeds, Square, email, and other marketing channels
  • Respond to inquiries in a timely, professional, and hospitality-driven manner
  • Schedule and coordinate venue tours, consultations, follow-up calls, and planning meetings
  • Conduct venue tours and assist prospective clients throughout the sales and booking process
  • Maintain organized lead tracking systems and communication logs within approved company software platforms
  • Assist with proposals, event packages, contracts, deposit coordination, and payment milestone tracking
  • Coordinate communication between clients, planners, and internal management teams to ensure continuity throughout the planning process
  • Assist in maintaining high lead conversion standards through consistent follow-up and customer engagement Marketing & Brand Management
  • Maintain and update event listings, galleries, blogs, and promotional content on: o BonaparteCastle.com o Zola o Social media platforms
  • Assist with creation, scheduling, and publishing of social media content across Instagram, Facebook, TikTok, Pinterest, and related platforms
  • Capture or coordinate photography and video content during events and tours for future promotional use
  • Assist with the development of digital marketing campaigns, seasonal promotions, and special event announcements
  • Monitor engagement metrics, inquiries, social growth, and advertising performance to help optimize marketing strategies
  • Maintain consistency in brand identity, presentation, and messaging across all platforms
  • Collaborate with management on storytelling, promotional initiatives, and public-facing brand positioning for Bonaparte Castle and future Bonaparte Hotels initiatives Administrative & Operational Support
  • Maintain organized digital client files, vendor agreements, event folders, and marketing assets
  • Update shared calendars, planning systems, and scheduling platforms
  • Assist with internal reporting, event summaries, operational checklists, and planning documentation
  • Coordinate communication between departments to ensure efficient event execution and customer service
  • Support management with general administrative tasks related to hospitality operations, events, and marketing initiatives Qualifications
  • 2+ years of experience in hospitality, events, marketing, customer service, or administrative coordination preferred
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Comfortable managing multiple projects, deadlines, and client interactions simultaneously
  • Strong working knowledge of social media platforms including Instagram, Facebook, TikTok, and Pinterest
  • Familiarity with Canva, Google Workspace, Microsoft Office, or related design/document software
  • Experience with ClickUp, CloudBeds, Square, CRM systems, or hospitality/event software preferred
  • Comfortable working evenings and weekends when events are scheduled
  • Professional appearance and hospitality-focused demeanor required Preferred Traits
  • Passion for hospitality, weddings, design, storytelling, and customer experience
  • Self-motivated with the ability to work independently and proactively
  • Creative thinker with strong interpersonal skills
  • Experience with wedding platforms such as Zola, WeddingWire, or The Knot preferred
  • Photography, videography, or content editing experience is a plus
  • Interest in boutique hotels, historic properties, tourism, and experiential hospitality
  • Strong alignment with the culture, professionalism, and growth vision of Bonaparte Castle Performance Expectations (KPIs)
  • The Events & Marketing Assistant may be evaluated on: o Lead response time o Tour scheduling and conversion rates o Social media engagement and audience growth o Booking support effectiveness o Client satisfaction and communication quality o Event execution support performance o Administrative organization and task completion o Brand consistency and marketing output quality Work Environment Bonaparte Castle is a historic boutique hospitality and events venue that operates in a fast-paced, client-facing environment.
