Up to a maximum salary of $36,420.80 annually. Salary can vary depending upon education, experience, or qualifications. The Executive Assistant provides high-level administrative and operational support to the Superintendent of the Hospital. This role requires discretion, strong organizational skills, and the ability to manage complex schedules, communications, and projects in a fast-paced healthcare environment. The Executive Assistant serves as a key liaison between executive leadership, clinical departments, external stakeholders, and regulatory bodies. Job Responsibilities may include but are not limited to the following: Executive Support & Coordination Manage the Superintendent's calendar, including scheduling meetings, appointments, and travel arrangements Prepare agendas, reports, presentations, and briefing materials Screen and prioritize incoming communications and correspondence Ensure the Superintendent is prepared for meetings, events, and decision-making activities Track and follow up on action items and key initiatives Oversee day-to-day administrative functions of the executive office Maintain office supplies, equipment, and organization Coordinate travel, expense reports, and reimbursements Support onboarding and coordination for executive-level staff or visitors Administrative Operations Assist with special projects, strategic initiatives, and organizational priorities Monitor project timelines and provide status updates Support hospital-wide initiatives related to quality, compliance, and performance improvement Help coordinate events, trainings, and leadership activities including tracking revisions. Operational & Project Strategic Support Coordinate events, trainings, and leadership activities, including logistics, materials and updates. Assist with special projects, performance improvement initiatives, and departmental goals Track deadlines and deliverables for leadership projects Support staffing and scheduling coordination as needed Help prepare data reports, dashboards, and basic analytics for leadership review Confidentiality & Compliance Handle sensitive and confidential information with the highest level of discretion Ensure compliance with hospital policies, procedures, and regulatory requirements (e.g., HIPAA) Maintain secure filing systems for executive and organizational documents Completes special projects and performs other duties as assigned including but not limited to ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists other employees in the work unit in accomplishing assignments as necessary.Qualifications Minimum Requirements:
Minimum of 3-5 years of executive administrative support experience, preferably in a healthcare or behavioral health environment Exceptional organizational and time-management skills, including managing complex schedules and competing priorities Strong written and verbal communication abilities, including drafting professional correspondence and materials High level of professionalism and discretion in handling sensitive and confidential information Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including calendar management and document preparation Ability to multitask and prioritize in a fast-paced environment while meeting deadlines Strong attention to detail and problem-solving skills, including reviewing documents and tracking action itemsPreferred Requirements:
Two to four years of experience in Business Administration, Healthcare Administration or related field preferred.Post-Offer, Pre-employment Requirements:
