Job Description

Position Summary This position is more than an accounting role. It is a trusted leadership position responsible for providing accurate financial information, maintaining strong internal systems, ensuring regulatory compliance, and delivering reliable job cost and financial reporting that supports sound business decisions and the successful operation of Henricksen Constructors Inc. The Construction Accounting & Administrative Manager works closely with ownership, project managers, and our CPA to oversee project accounting from cost entry through customer billing. This position is responsible for producing accurate financial information, reliable job cost reporting, and timely customer billings that provide ownership with the information needed to manage project budgets, profitability, cash flow, and overall company performance. Primary Responsibilities
  • Manage Accounts Payable and Accounts Receivable.
  • Process payroll accurately and timely.
  • Prepare certified payroll reports.
  • Prepare and file union reports and benefit payments.
  • Prepare and file city sales tax reports.
  • Prepare Department of Labor and Workers' Compensation reports.
  • Maintain accurate job costing and accounting records.
  • Maintain project budgets within QuickBooks Enterprise and ensure costs are accurately coded to the appropriate jobs and cost categories.
  • Prepare accurate, timely, and detailed customer billings by compiling payroll, materials, equipment, subcontractor, and other project costs in accordance with contract requirements and company billing procedures.
  • Review project costs, budgets, billings, and job progress to ensure invoices are complete, accurate, and fully supported before submission to clients.
  • Prepare accurate, timely, and meaningful financial and job cost reports, including Profit & Loss, Balance Sheet, Trial Balance, Accounts Payable, Accounts Receivable, and job cost reports that provide ownership with the information needed to effectively monitor project budgets, profitability, cash flow, and overall company performance.
  • Maintain the integrity of job cost data by ensuring costs, billings, budgets, and project information are entered accurately and reconciled to support reliable project reporting.
  • Maintain construction asset tracking records.
  • Maintain organized electronic and paper filing systems.
  • Work collaboratively with ownership, project managers, vendors, clients, and our CPA.
  • Identify opportunities to improve procedures and accounting processes. Qualifications
  • Strong accounting or bookkeeping background.
  • Proficient in Microsoft Excel (required).
  • Experience using QuickBooks (required). QuickBooks Enterprise experience is strongly preferred.
  • Highly organized, dependable, and detail-oriented.
  • Excellent written and verbal communication skills.
  • Demonstrates initiative, ownership, and sound problem-solving abilities.
  • Works well as part of a collaborative team.
  • Construction accounting, job costing, certified payroll, union reporting, sales tax reporting, and QuickBooks Enterprise (Desktop) experience are strongly preferred.
  • The successful candidate must be able to generate accurate, reconciled, and meaningful financial and job cost reports that support management decision-making.
