Staff Accountant - Private Industry About the Position Our client is seeking a dependable, detail-oriented Staff Accountant to take ownership of the company's day-to-day accounting operations. This is a hands-on position with responsibility for accounts receivable, accounts payable, financial reporting, reconciliations, and other accounting functions . The ideal candidate is organized, proactive, and comfortable working independently. We are looking for someone who takes pride in their work, pays attention to the details, follows through on responsibilities, and is willing to question and investigate anything that does not look right. What You'll Do Accounts Receivable Manage customer deposits, payment requests, and invoicing. Prepare, finalize, and post customer invoices. Monitor outstanding receivables and follow up on past-due payments. Process customer payments received by check, ACH, wire, and credit card. Maintain customer deposit and billing reports. Accounts Payable Process and verify vendor invoices and match them to the company's purchase orders. Research and resolve invoice discrepancies. Process vendor payments by check, ACH, credit card, and automatic payment. Monitor vendor credits and early-payment discounts. Manage weekly check runs and Positive Pay reporting. Review vendor statements and resolve discrepancies. Accounting & Financial Reporting Prepare weekly, monthly, quarterly, and year-end accounting reports. Perform monthly bank reconciliations. Maintain accounting records, spreadsheets, and supporting documentation. Calculate information needed for sales tax filings in Illinois, Maryland, Texas, and Wisconsin. Assist with annual 1099 reporting and other accounting requirements. Banking & Accounting Systems Manage daily accounting activity through the company's banking portals. Process and monitor ACH and wire payments, deposits, cleared checks, and Positive Pay. Work with QuickBooks, Excel, Clover , company credit card portals, and other accounting-related systems. Take ownership of the company's accounting responsibilities within the Vision vendor portal as implementation progresses. Help identify and implement useful accounting technology, including future AI tools and a potential ERP system. Communication & Team Support Communicate professionally with customers, vendors, SEFA, coworkers, banks, and other business contacts. Work directly with the General Manager and provide reliable support for the company's accounting needs. Identify opportunities to improve processes, efficiency, and internal controls. Provide input on future accounting staffing needs and assist with training as the department grows. What We're Looking For Strong understanding of accounts receivable, accounts payable, reconciliations, and financial reporting . Experience with QuickBooks and Microsoft Excel .
