Accounting and Operations Coordinator Job Summary The Accounting and Operations Coordinator supports the financial and operational functions of the company. This role is responsible for accounts payable and receivable, job-related administrative support, and coordination of day-to-day office and project operations. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced construction environment where priorities shift and teamwork is essential. Key Responsibilities Accounting & Financial Support Process accounts payable and receivable, including vendor invoices, customer billings, and collections Prepare and send progress billings, lien waivers, and job closeout documents Reconcile accounts, track expenses, and assist with month-end reporting Maintain accurate financial and job cost records Coordinate with external accountants, payroll providers, and vendors as needed Operations & Job Coordination Support project managers with job setup, documentation, and tracking Maintain job files, contracts, change orders, insurance certificates, and compliance documents Track project costs, purchase orders, and subcontractor agreements Assist with scheduling, job status updates, and internal reporting Serve as a point of contact between the office, field staff, vendors, and clients Office & Administrative Support Manage daily office operations and administrative processes Answer phones, manage correspondence, and maintain organized digital and physical filing systems Order office supplies and manage vendor relationships Assist ownership or management with special projects and reporting Qualifications
MUST HAVE
2+ years of experience in accounting, office management, or operations (construction experience preferred)

Quickbooks experience Working knowledge of accounts payable, accounts receivable, and basic bookkeeping Strong organizational skills and attention to detail Ability to manage multiple priorities independently Strong communication skills and a team-oriented mindset Preferred Skills Experience in construction, contracting, or a trade-based business Familiarity with job costing and progress billing Understanding of lien laws, insurance certificates, and construction compliance (a plus, not required) Work Environment This role is based in a small construction office and requires close collaboration with project managers, field staff, vendors, and clients.
