Full-Charge Bookkeeper•Multi-Company Job Summary We are seeking an experienced, detail-oriented Full-Charge Bookkeeper to manage the books for multiple businesses under common ownership. Our companies operate across real estate development, construction, property management/rentals, and related businesses. Different businesses currently use different systems, including QuickBooks, Buildertrend, Landlord Studio, and spreadsheet-based bookkeeping for smaller entities. The Bookkeeper must be comfortable understanding how financial activity is tracked within each system and maintaining accurate records across all of them. We need someone who understands bookkeeping beyond just using accounting software and can keep each company's books accurate, separate, reconciled, and ready for management and our accountant. Responsibilities Maintain complete and accurate books for multiple separate companies. Perform bank and credit card reconciliations. Manage accounts payable and accounts receivable. Record bills, checks, payments, deposits, transfers, and journal entries. Maintain accurate records of loans, owner contributions/distributions, and financing activity. Properly record intercompany loans, reimbursements, shared expenses, and Due To/Due From balances. Track project and property-related income and expenses. Review transactions for accuracy, investigate discrepancies, and flag items requiring clarification. Assist with month-end and year-end close. Prepare financial records and reports for our CPA/accountant. Prepare and organize all necessary year-end and tax-support documentation for the accountant for each company, including reconciliations, financial reports, loan information, 1099 records, owner activity, and supporting documentation as needed. Maintain organized supporting financial documentation. Help improve bookkeeping procedures and financial controls across all companies. CEO Reporting Prepare a weekly financial recap for the CEO for each business. Summarize cash position, major inflows/outflows, upcoming payments, receivables, and financial concerns. Update and maintain the CEO financial dashboard. Highlight intercompany activity, unusual transactions, cash concerns, and items requiring management attention. Provide clear explanations of financial changes from week to week. Requirements Proven bookkeeping experience, preferably with multiple companies or entities. Strong understanding of double-entry bookkeeping and general ledger accounting. Experience with bank reconciliations, AP, AR, journal entries, and financial reporting. Experience preparing Profit & Loss Statements and Balance Sheets. Understanding of intercompany accounting and loan tracking. Strong QuickBooks experience. Comfortable working with financial data from systems outside QuickBooks. Strong Excel or Google Sheets skills. Ability to maintain financial dashboards and summarize financial information for leadership. Strong organizational skills and attention to detail. Ability to work independently and take ownership of the bookkeeping process. Strongly Preferred Construction or real estate bookkeeping experience. Property management or rental accounting experience. Experience managing books for multiple related companies.
