About the Role We're looking for an Accounting & Operations Associate to support our leadership team with the financial and administrative work that keeps the business running smoothly. This is a back-office, control-oriented role — not a client-facing or executive position. You'll coordinate bookkeeping, organize K-1s and tax documents, manage administration across multiple legal entities, follow up on vendor and administrative items, keep company records in order, and handle bill payments and banking, including international wires. We need someone who's genuinely interested in automating this kind of work with agentic AI — someone curious about new tools and eager to keep learning. Strong written communication and follow-through matter more here than being highly extroverted or client-facing. You'll be the person who reduces operational drag on leadership so they can stay focused on customers, investors, and growth. What You'll Do Coordinate day-to-day bookkeeping with our accountant/bookkeeper (AP/AR, reconciliations, expense tracking) Organize and maintain tax documents and related filings Support administration across multiple legal entities, including filings, registered agent fees, and entity-level recordkeeping Follow up on vendor and administrative items to make sure nothing falls through the cracks Keep company records, files, and login/portal access organized and current Build repeatable processes and maintain clear trackers for recurring work Flag discrepancies or issues early, before they become problems Prepare materials ahead of key meetings and support board materials or travel logistics as needed Provide backup support to leadership on operational and administrative tasks Process bill payments and manage banking activity, including wires and international payments Take on ad hoc projects and other duties as needed What You'll Bring 2-5 years of experience in accounting, bookkeeping, controller support, finance operations, or office/operations management with financial responsibility Strong Excel/Google Sheets skills and a solid grasp of core bookkeeping concepts Highly organized with strong attention to detail Reliable and able to own recurring, detail-heavy work without needing reminders Strong written communication and follow-through Comfortable with routine, back-office work rather than a highly client-facing role Trustworthy with confidential and sensitive financial information Comfortable using everyday digital tools for banking, signatures, expense management, and file organization Nice to Have Experience with wire transfers, international payments, or banking administration Exposure to C-corp, LLC, and LP global tax, tax-document organization, or working with a CPA/tax preparer Familiarity with accounting software (QuickBooks, Xero, Bill.com, or similar) Experience supporting administration across multiple legal entities (filings, registered agents, entity-level recordkeeping) Experience supporting a founder, executive, or small leadership team Experience coordinating with external accountants, auditors, or legal counsel Experience at a small business or lean team Bachelor's degree in accounting, finance, or business (not required with strong experience) Benefits Flexible schedule Health insurance Paid time off Why Join Us You'll play a critical, trusted role in keeping the business running smoothly — with real ownership over the financial and administrative details that matter.
