Job Description
- Manage bookkeeping and accounting records for multiple company locations.
- Maintain accurate financial records for each individual location.
- Manage and maintain QuickBooks / QuickBooks Online.
- Record and properly categorize income and expenses.
- Reconcile bank accounts and credit cards.
- Track deposits, payments, transfers, and other financial transactions.
- Manage Accounts Payable and Accounts Receivable.
- Monitor outstanding invoices, bills, and vendor payments.
- Review financial activity from each location for discrepancies or unusual transactions.
- Investigate and resolve accounting discrepancies.
- Prepare monthly Profit & Loss Statements.
- Prepare financial reports for individual locations and for the company as a whole.
- Maintain and review General Ledger accounts.
- Assist with Balance Sheet reconciliations.
- Monitor company cash flow and operating expenses.
- Compare financial performance between company locations.
- Maintain organized records of invoices, receipts, purchases, bills, and expenses.
- Assist management with budgeting and financial planning.
- Help management understand financial performance, expenses, and trends.
- Coordinate with company management, accountants, CPAs, payroll providers, vendors, and other financial professionals as needed.
- Assist with gathering and organizing information required for tax filings and regulatory requirements.
- Ensure accounting records are accurate, current, and prepared for CPA/accountant review.
- Help establish and maintain accounting procedures and internal financial controls.
- Maintain strict confidentiality regarding all company financial information. Requirements
- Minimum 3 years of bookkeeping or accounting experience preferred.
- Strong experience with QuickBooks or QuickBooks Online required.
- Experience managing accounting or bookkeeping for multiple business locations strongly preferred.
- Strong understanding of Accounts Payable, Accounts Receivable, bank reconciliations, credit card reconciliations, General Ledger, Profit & Loss Statements, Balance Sheets, cash-flow tracking, expense categorization, and financial reporting.
- Strong mathematical and analytical skills.
- Excellent attention to detail.
- Ability to identify financial discrepancies and investigate their cause.
- Ability to manage financial activity from multiple locations simultaneously.
- Strong Microsoft Excel and/or Google Sheets skills.
- Strong organizational and record-keeping skills.
- Ability to work independently with minimal supervision.
- Strong communication and problem-solving skills.
- Ability to manage deadlines and multiple financial responsibilities.
- High level of integrity, confidentiality, and professionalism. Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- QuickBooks ProAdvisor certification.
- Experience supporting companies with locations in multiple states.
- Experience preparing location-specific financial reports.
- Experience communicating financial results to owners or executive management.
- Experience working directly with CPAs and tax professionals.
- Payroll reconciliation experience.
- Experience with budgeting and financial forecasting.
- Experience implementing accounting procedures and financial controls.
