SUMMARY OF FUNCTIONS
Responsible for performing a variety of administrative accounting as required by the office including Accounts Payable, Accounts Receivable and Payroll duties as assigned.
DUTIES AND RESPONSIBILITIES
Processes payroll for the Company utilizing HRIS (Human Resource Interface System) payroll systems. Administers garnishments, child support, and tax levies. Receives and processes vendor invoices and internal check requests; maintains open files for purchase orders, packing/receiving slips and matches to invoices. Verify invoices for quantity, unit pricing, extensions, and applicable discounts. Obtains approval from appropriate personnel for payment of miscellaneous invoices. Codes invoices with general ledger account numbers; determines dates for invoices to be paid; enters invoices into accounts payable module. Maintains alphabetical open invoice file for unpaid invoices. On a weekly basis, reviews invoices scheduled for payment and special check requests with the Director of Accounting, request approved checks be printed. Prepare and maintain vendor file for all vendors. Prints, verifies, and maintains accounts payable voucher reports, open/aging reports, disbursement reports, and journals. Receives and answers phone calls from vendors or other departments in regard to payment status of invoices. Print, stamp, and alphabetize incoming invoices. File or scan paid invoices. Support a company culture of continuous improvement by participating in efficiency and improvement efforts. Assure confidentiality and discreet handling of all business.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
Good communication skills and the ability to work well with people are essential. Familiarity with Microsoft Office products including Word, PowerPoint and Excel is required. Experience with SAP, Adobe Acrobat and HRIS (Human Resource Interface System) is a plus.
EDUCATION AND/OR EXPERIENCE
A High School diploma or General Education Degree (GED) is required. Accounting and/or Payroll experience highly desired.
