POSITION SUMMARY
The Accounting/Administrative Assistant serves as the primary "face" and voice of Habitat for Humanity. This role ensures seamless office operations and provides a professional, welcoming environment for donors, partners, and visitors. In addition to traditional administrative support, this position provides critical assistance to the finance department through accounts payable (AP) and accounts receivable (AR) tasks, filing, sales and use tax, and bank reconciliation.
ESSENTIAL DUTIES & RESPONSIBILITIES
Office Operations & Communications Front-of-House Management:
Act as the first point of contact for visitors and callers.
Communications:
Manage a multi-line phone system; provide accurate information or route messages with high professionalism.
Administrative Support:
Assist executive and administrative staff with document preparation, filing, and maintaining a tidy office.
Resource Management:
Monitor and maintain office supply inventory to ensure team effectiveness.
Safety & Compliance:
Maintain a clean, organized, and safe workspace in accordance with
HFHNATCO
standards.
Financial & Data Support Accounting Assistance:
Provide direct support for AP/AR processes.
QuickBooks Management:
Utilize QuickBooks to maintain accurate financial records and data entry. Maintain company ledgers and daily financial transactions. Identify discrepancies in ledgers and accounts and correct errors via journal entries. Assist the bookkeeper by ensuring all invoices are posted accurately, coded correctly and paid when due. Money received is posted properly and deposits are made promptly. Properly maintain the A/P and A/R files and all subcontractor and vendor files. Assist in preparing the annual affiliate budget. Assist with the Annual Audit. Other tasks as assigned by the CFO.
Mission Advocacy Community Representation:
Act as an ambassador for HFHNATCO, articulating the organization's mission and ecumenical Christian principles.
Compliance:
Maintain a clean, organized, and safe workspace in accordance with
HFHNATCO
standards.
SKILLS, KNOWLEDGE AND ABILITIES REQUIRED
Technical Proficiency:
High-priority knowledge of QuickBooks; proficiency in Word, Excel, and Access.
Financial Literacy:
Basic understanding of AP/AR principles with a background in accounting.
Communication:
Excellent interpersonal, verbal, and written communication skills.
Professionalism:
Ability to work well with all customers, including staff, partner families, and business or religious agencies. Attention to detail.

Commitment to the ecumenical Christian principles of Habitat for Humanity.
EDUCATION AND/OR EXPERIENCE
Education and/or experience with computer programs: Word, Excel, Access, and Quickbooks. Must have at least three (3) years of experience bookkeeping or financial experience. Telephone Skills. Preference is given for experience with non-profit volunteer-intensive organization.
PHYSICAL DEMANDS
Sedentary Lifting up to 10 pounds maximum and occasionally lifting and/or carrying such articles as dockets, ledgers, and files. Walking and standing are required only occasionally. Frequent use of computer keyboard.

WORK ENVIRONMENT
Limited General office environment: infrequently exposed to extreme atmospheric conditions (temperature, noise, fumes, dust, etc.), Frequent exposure to computer screen.
