Job Summary We are seeking a dynamic and detail-oriented Office Administrator / Accounting professional to join our team. Responsibilities Manage accounts payable and receivable processes using accounting software such as QuickBooks Online, Xero, Sage, or similar systems. Prepare and record journal entries, including debits & credits, ensuring adherence to GAAP (Generally Accepted Accounting Principles) and accounting standards. Reconcile bank statements, balance sheets, and general ledger accounts regularly to maintain accurate financial data. Process payroll accurately and efficiently, ensuring compliance with relevant regulations. Maintain detailed records of financial transactions, including invoices, receipts, and expense reports using spreadsheets and financial software. Assist with budgeting activities and financial report writing to support organizational planning and decision-making. Conduct account reconciliation tasks such as accounts receivable/payable management, general ledger reconciliation, and bank reconciliations. Support technical accounting functions related to nonprofit or corporate accounting environments as needed. Ensure compliance with internal controls and accounting policies while supporting audit preparations. Perform administrative duties such as managing office supplies, scheduling meetings, and supporting team communication efforts. Requirements Proven experience in accounting or bookkeeping roles with a strong understanding of financial concepts like double entry bookkeeping, debits & credits, journal entries, and account reconciliation. Proficiency in accounting software including QuickBooks (especially QuickBooks Online), Xero, Sage, or similar systems; experience with Quicken is a plus. Strong knowledge of GAAP standards and financial reporting practices. Experience with payroll processing and managing accounts payable/receivable workflows. Excellent skills in spreadsheets (Excel or Google Sheets) for data analysis and reporting purposes. Ability to perform bank reconciliations accurately and efficiently while maintaining attention to detail. Familiarity with technical accounting principles relevant to nonprofit or corporate environments is preferred. Strong organizational skills complemented by the ability to prioritize tasks effectively in a fast-paced setting. Basic typing skills (10 key typing) for data entry accuracy.
