Job Description
We are a busy St. Louis accounting firm looking for a highly capable Administrative Assistant who thrives in a fast-paced environment. This role is a very important one in our office — you will work closely with the firm partners and report to the Office Manager, keeping daily operations running smoothly year-round with significant volume during our peak seasons. If you are the kind of person who anticipates needs, takes ownership without being asked, can multitask and wants to learn — this role is for you. Responsibilities Process and electronically file tax returns using UltraTax CS and GoFileRoom (GFR) Answer a multiline phone system and route calls professionally Scan, index, and organize client supporting documents into GoFileRoom Ship documents via FedEx, certified mail via USPS, etc. Maintain and help with customer database to support firm operations File and organize paper documents in accordance with established office procedures Operate and troubleshoot (as needed) basic office equipment Follow and uphold documented office procedures and workflows Work directly with partners and communicate professionally with clients and vendors Skills Strong ability to manage competing priorities independently and meet deadlines Comfortable working in a high-volume environment — peak seasons require sustained focus and efficiency Excellent organizational skills with strong attention to detail Professional phone presence and communication skills Experience with multiline phone systems and general office equipment Experience with Office 365 software Ability to work effectively alongside dynamic, busy leadership A creative mind with an ability to suggest improvements Preferences Prior experience in an accounting or professional services firm Prior experience with Thomson Reuters products: UltraTax CS, GoFileRoom, and Practice CS Schedule & Environment This is a full-time, in-office position. During peak periods (January - April and September/October) overtime is required. The rest of the year offers a much steadier pace.
