Join Our Team We are seeking a dependable, detail-oriented Accounting & Administrative Assistant to support our Finance and Administrative teams. This position is ideal for someone who enjoys both accounting and office operations, takes pride in accuracy, and thrives in a collaborative, mission-driven environment. The Accounting & Administrative Assistant will play a key role in maintaining the organization's financial records, processing payroll and accounts payable, assisting with month-end accounting activities, and providing administrative support to ensure efficient day-to-day operations. What You'll Do Accounting & Finance Process accounts payable invoices and prepare payments accurately and timely. Assist with payroll processing and maintain confidential payroll records. Prepare and enter journal entries into the general ledger. Reconcile vendor statements and resolve payment discrepancies. Maintain organized accounting records and supporting documentation. Assist with month-end close activities. Assist with credit card reconciliations. Maintain vendor files, W-9s, and payment records. Support annual audits and other financial reporting projects as assigned. Ensure compliance with organizational financial policies and procedures. Administrative Support Answer incoming phone calls and direct inquiries professionally. Manage shared email accounts and office correspondence. Schedule meetings and assist with calendar coordination. Maintain filing systems and confidential records. Order office supplies and coordinate general office needs. Provide administrative support to the Finance and Leadership teams. Assist with special projects as assigned. Qualifications Required Associate degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant experience. Minimum of two (2) years of experience in accounting support, bookkeeping, accounts payable, payroll, or administrative operations. Working knowledge of basic accounting principles. Experience preparing journal entries. Proficiency with Microsoft Office, including Excel, Word, and Outlook. Excellent organizational skills and exceptional attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities while maintaining accuracy. Ability to maintain strict confidentiality with financial and employee information. Preferred Three to five years of accounting or finance support experience. Experience with QuickBooks or other accounting software. Experience with payroll systems such as ADP, UKG, Paylocity, or similar platforms. Experience in healthcare, nonprofit, or Federally Qualified Health Center (FQHC) settings.
