Administrative Assistant Accounting Firm (Full-time)

Job Description

Position Overview We are seeking a highly organized and dependable Administrative Assistant to support our professional staff and help maintain efficient day-to-day operations. This role is central to managing client communications, coordinating workflow during busy periods (including tax season), and adapting to evolving processes as technology continues to shape the accounting profession.

Key Responsibilities Answer phones and manage client communications in a professional manner Schedule appointments and manage partner/staff calendars Provide administrative support to professional staff as needed Organize and maintain client files (both physical and electronic) Assist with tax season workflow, including tracking documents and follow-ups Prepare, format, and assemble client deliverables (tax returns, financials, etc.) Scan, upload, and manage documents within firm systems Handle incoming and outgoing mail, including certified and time-sensitive items Coordinate e-filing processes and assist with obtaining client signatures Serve as a point of contact for clients' financial advisors, bankers, and other third parties, ensuring clear and professional communication Support special projects and take initiative in improving administrative processes Qualifications Prior administrative experience (accounting firm experience strongly preferred) Strong organizational and multitasking abilities High attention to detail, especially with client documents Excellent communication and client service skills Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to handle confidential information with discretion Ability to work independently, prioritize tasks, and solve problems without constant direction Adaptability and willingness to learn new systems and processes as the role evolves What We Value A consistently positive, professional attitude A solutions-first mindset—focusing on how to move things forward rather than obstacles Accountability and follow-through Willingness to take ownership of responsibilities and figure things out when needed Flexibility and openness to change as technology and processes evolve Preferred Experience Experience in a CPA or professional services firm Familiarity with tax workflows, document management systems, or tax software Experience supporting multiple professionals in a deadline-driven environment Compensation & Benefits Competitive salary based on experience Paid time off and holidays Health benefits Opportunities for growth within the firm
Pay:
$20.00 - $30.00 per hour Expected hours: 40.0 per week
