Job Description

Accounting Administrative Assistant Job Summary We are seeking a detail-oriented and organized Accounting Administrative Assistant to support daily accounting operations and administrative functions. This role will assist with maintaining accurate financial records, processing transactions, coordinating documentation, and providing general office support to the accounting department. Key Responsibilities Process invoices, purchase orders, expense reports, and payment requests. Enter and maintain financial data in accounting software and spreadsheets. Assist with accounts payable and accounts receivable activities. Reconcile bank statements, credit card transactions, and internal records. Prepare reports, spreadsheets, and accounting documentation. Maintain organized electronic and physical financial files. Respond to vendor and customer inquiries regarding invoices and payments. Assist with payroll preparation and timekeeping records, as needed. Support month-end and year-end closing procedures. Schedule meetings, manage correspondence, and perform general administrative tasks. Ensure confidential financial information is handled appropriately. Follow company accounting policies and applicable regulations. Qualifications High school diploma or equivalent required; associate degree in accounting, business, or a related field preferred. Previous administrative or accounting experience preferred. Familiarity with accounting principles and financial documentation. Proficiency with Microsoft Office, particularly Excel. Experience with accounting software such as QuickBooks Desktop or similar systems is an advantage. Strong data-entry, organizational, and time-management skills. Excellent attention to detail and accuracy. Professional communication and customer-service skills. Ability to manage multiple tasks and meet deadlines. Physical and Work Requirements Ability to work effectively in an office or remote-office environment. Ability to sit for extended periods and use a computer regularly. Ability to maintain confidentiality and work with sensitive information.
