We're hiring a Billing and Accounts Manager to own invoicing, accounts payable, and accounts receivable. Core tasks include creating accurate invoices from completed work orders, researching and verifying vendor bills, paying vendors, and collecting payment from customers. Responsibilities Build customer invoices from work orders. Calculate labor and materials, and check each total before it goes out. Create and manage invoices in work order management platforms, such as Service Fusion, ServiceTitan, etc.. Enter vendor bills into QuickBooks and pay them once they're approved. Follow up on overdue accounts. Call customers, escalate when payment stalls, and keep notes on every account. File mechanics liens when collection stalls, and track the California deadlines that apply to them. Keep billing and books consistent. Qualifications Proven experience in accounting or finance roles with a strong background in billing management and accounts receivable/payable functions. Proficiency with accounting software such as QuickBooks, Sage, PeopleSoft, or similar platforms; experience with billing software is highly desirable. Solid understanding of GAAP principles, SOX compliance requirements, and technical accounting concepts. Demonstrated ability in Excel data analysis, including creating formulas and managing spreadsheets for reporting purposes. Experience with collections account management and customer service skills for client communication. Knowledge of double entry bookkeeping, journal entries, account reconciliation processes, and financial concepts like debits & credits. Strong attention to detail with excellent math skills including 10 key typing accuracy for efficient data entry. Effective analysis skills to interpret financial data accurately; ability to perform account analysis confidently. Excellent phone etiquette and communication skills to handle client inquiries professionally while maintaining positive relationships.
