Job Description

Job Overview We are seeking a dynamic and detail-oriented Accounts Payable (AP) Specialist / Office Manager to join our team. This dual-role position combines the essential functions of managing accounts payable processes with overseeing daily office operations to ensure smooth and efficient business workflows. The ideal candidate will be proactive, organized, and possess a strong understanding of financial systems and office management practices. Your expertise will support our commitment to financial accuracy, compliance, and a positive work environment. Duties Process and verify all vendor invoices, ensuring accuracy and adherence to company policies using financial software such as QuickBooks, Sage, or Workday. Manage accounts payable automation systems to streamline invoice processing and payment workflows. Reconcile accounts payable ledger with general ledger accounting records, ensuring consistency and compliance with GAAP (Generally Accepted Accounting Principles). Maintain confidential financial information with integrity while handling sensitive data securely. Oversee office administrative tasks including supply procurement, facility management, and coordinating meetings or events. Ensure compliance with SOX (Sarbanes-Oxley Act) controls related to financial reporting and internal controls. Prepare journal entries for month-end closing processes and assist in account reconciliation efforts across multiple accounting systems such as PeopleSoft or Ceridian. Qualifications Proven experience in accounting and finance roles with a focus on accounts payable, bookkeeping, or related functions. Familiarity with financial concepts including debits & credits, double entry bookkeeping, general ledger reconciliation, and journal entries. Proficiency in Microsoft Office Suite, especially Excel for data analysis, spreadsheets creation, and formula application. Excellent attention to detail with strong analysis skills for account reconciliation and data entry accuracy. Ability to handle confidential information discreetly while managing multiple priorities in a fast-paced environment.
