- Process and submit automotive warranty claims accurately and timely to Ford/Lincoln, manufacturers, distributors, and third-party warranty providers as applicable.
- Review repair orders for accuracy, completeness, and proper documentation prior to claim submission.
- Verify labor operations, causal parts, technician comments, time punches, and all required supporting documentation.
- Verify warranty coverage criteria and requirements established by the manufacturer, distributor, or warranty provider.
- Identify and resolve documentation or claim issues before submission.
- Correct and resubmit rejected claims promptly or obtain appropriate authorization for claims that need to be written off.
- Track outstanding warranty claims and follow up on payment to ensure timely reimbursement.
- Maintain strong RO Close-to-Submit performance.
- Reconcile warranty receivables with payments through the appropriate accounting schedules.
- File and maintain accurate warranty and service records as required by the manufacturer or warranty provider.
- Maintain organized documentation to support warranty audits and compliance requirements.
- Assist with warranty parts retention by properly tagging parts with the repair order number and replacement date and following disposal requirements.
- Stay current on manufacturer warranty policies, procedures, recalls, and technical/service bulletins.
- Communicate and coordinate with Service Management, Service Advisors, Technicians, Parts, Accounting, and other departments to gather information and resolve claim issues.
- Take ownership of the warranty process from RO close through claim payment.
- Assist with clerical and administrative needs as directed by leadership.
- Perform other duties as assigned. Qualifications
- Previous automotive dealership Warranty Administrator experience required.
- Ford/Lincoln warranty experience strongly preferred.
- CDK experience preferred.
- Strong knowledge of dealership warranty claim processing and repair orders.
- High school diploma or equivalent required.
- Strong technical knowledge and ability to verify warranty coverage and required documentation.
- Excellent attention to detail and accuracy.
- Strong organizational, time management, follow-up, and problem-solving skills.
- Ability to manage multiple claims in a busy, high-volume dealership environment.
- Ability to meet deadlines and prioritize competing responsibilities.
- Strong verbal and written communication skills, with the ability to work effectively with technicians, service advisors, management, accounting, parts, and warranty providers.
- Dependable and able to work independently.
- Comfortable identifying documentation problems and working with the appropriate department to get them corrected.
- Professional appearance and demeanor.
- Valid driver's license, satisfactory background check results, and clean driving record.
