Job Description

Job Overview We are seeking a detail-oriented and proactive Accounts Payable Clerk to join our finance team. In this vital role, you will manage the company's outgoing payments, ensure accuracy in financial transactions, and uphold the integrity of our financial records. Your expertise will help streamline our accounts payable processes, support compliance with accounting standards, and contribute to the overall financial health of the organization. This position offers an exciting opportunity to work and collaborate across departments to maintain precise and timely vendor payments. Responsibilities Process all accounts payable transactions accurately using Sage 100 financial software. Verify invoices against purchase orders, contracts, and receipts to ensure proper authorization and accuracy. Reconcile vendor statements and resolve discrepancies promptly through effective communication with suppliers and internal teams. Maintain detailed records of all payments, invoices, and related documentation in compliance with company policies and regulatory standards like GAAP. Prepare journal entries for accruals, adjustments, and month-end closing activities related to accounts payable. Assist with month-end account reconciliation activities including balance sheet reconciliation and account analysis. Support audits by providing necessary documentation and explanations for accounts payable transactions while handling confidential information with discretion. Support other accounting personnel or other department personnel where assistance may be needed. Requirements Proven education and/or experience in accounting or finance roles with a focus on accounts payable management. Strong understanding of sales tax and the sales tax exemption. Adequate understanding of job cost and the use of cost codes to appropriately distribute cost to the job. Strong understanding of accounting principles such as GAAP, and technical accounting concepts. Proficiency in financial software including Sage, or similar systems; experience with Microsoft Office Suite especially Excel for data analysis is essential. Excellent numeracy skills along with strong attention to detail for data entry and account reconciliation tasks. Excellent time management skills with a strong understanding of the value of efficiency and proper use of any down time. Ability to recognize mistakes and inconsistencies and to reason a solution for them. Excellent alphabetical and sequential filing skills. Ability to handle confidential information responsibly while demonstrating strong organizational skills. Effective communication skills for vendor interactions and cross-departmental collaboration.
