We are seeking a dependable, organized, and detail-oriented Administrative Assistant / Office Manager to become an integral part of our team at our corporate headquarters. Position Summary The Administrative Assistant / Office Manager is responsible for supporting the day-to-day administrative, bookkeeping, and office operations of the company. The ideal candidate is highly organized, self-motivated, customer-service oriented, and capable of managing multiple priorities while maintaining a high level of accuracy and professionalism. Primary Responsibilities Answer and direct incoming phone calls professionally. Schedule appointments, meetings, and project-related activities. Maintain organized digital and physical filing systems. Perform accurate data entry and maintain company records. Process Accounts Payable (A/P) and Accounts Receivable (A/R). Prepare customer invoices and monitor collections. Process vendor invoices and maintain payment records. Perform monthly bank and credit card reconciliations. Investigate and resolve discrepancies in financial records. Enter and maintain financial information using QuickBooks Online or similar accounting software. Prepare spreadsheets, financial summaries, job cost reports, and management reports using Microsoft Excel. Assist with subcontractor onboarding, W-9s, Certificates of Insurance (COIs), and project documentation. Prepare proposals, change orders, contracts, and other administrative documents. Coordinate communications between management, field personnel, subcontractors, vendors, and clients. Maintain confidentiality of company and financial information. Support management with general office and administrative responsibilities. Minimum Qualifications Bilingual (English & Spanish) - Required Minimum two (2) years of administrative and/or bookkeeping experience. Experience using QuickBooks Online or similar accounting software. Strong Microsoft Office skills, particularly Excel, Word, and Outlook . Experience with bank reconciliations, Accounts Payable, and Accounts Receivable. Excellent organizational and time management skills. Strong written and verbal communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Professional phone etiquette and customer service skills. Reliable, punctual, dependable, and detail-oriented. Ability to work independently with minimal supervision. Willingness to learn new software and adapt to changing business processes. Preferred Qualifications Previous experience working in the construction industry. Familiarity with construction terminology, purchase orders, change orders, project documentation, subcontractor coordination, and project schedules.
