Job Description

Please note before applying: this role is fully on-site in Azusa, CA, including an in-person interview. Candidates should be in the greater Los Angeles area. This is a U.S. Person role; see the export-control notice below. This is not a data-entry role and it is not a payroll-clerk role. You will own the financial record of a hardware company from the ground up: reconstructing fourteen months of books, untangling how a startup actually spent its first dollars, and building the accounting discipline that everything downstream depends on.
ABOUT ELDAEON ELDAEON
is building the world's first tactical UAP-detection network. Our sensor-fusion platform is engineered ground-up to detect what conventional defense systems were never designed to see: anomalous aerial phenomena that violate restricted airspace, including near nuclear facilities and military installations. Our platform is modular, adaptable across rooftop, field, and networked regional deployments. It is multimodal, fusing optical, RF, environmental, biometric, and temporal data. And it is real-time, built for live detection, correlation, and characterization of aerial phenomena. We are sensor hackers, reverse engineers, and deep-tech builders. We build what others won't. We are venture-backed, we shipped our first hardware units this year, and we are now building the financial operation to match the engineering one.
THE ROLE
We incorporated in June 2025 and have been building at full speed ever since. The books did not keep up. Fourteen months of QuickBooks Online activity sit unreconciled across several company cards and accounts, and we have just started shipping $25,000 hardware units into a sales-tax regime we need to get exactly right. That's the problem you're here to solve. This is a reconstruction job first and a maintenance job second. The hard part isn't transaction volume. It's that every dollar has a story, and someone has to sit down with the CEO and get the story right. Then it's keeping it right, month after month, so that when our CPA signs the return and an independent firm reviews our procedures, the books hold up. We are a hardware manufacturer, so inventory and cost of goods sold are the books, not a footnote. Components flow from a range of suppliers through a bill of materials into a finished unit that ships to a customer. California treats each of those steps differently for sales and use tax. Getting that classification right at the transaction level, not reconstructed at year-end, is the whole job. You'll work directly with the CEO and with our outside CPA. There's no accounting department to hide behind, and none to be buried by.
THE STANDARD WE'RE HIRING TO
Most bookkeeping is a trade-off between precision and throughput. Firms that carry hundreds of clients cannot afford to be exact on any one of them, so they categorize in bulk: an entire Amazon order becomes one line against "equipment," and nobody ever opens the receipt. We have been on the receiving end of that and had to clean it up ourselves. We are not buying it again. We are hiring for precision, and we will pay for the time precision takes. Concretely, that means:
  • Every transaction is reconciled against its source document. Not sampled. Not rolled up by vendor. Not "same as last time."
  • A multi-item order is split to the line-item level. One Amazon order can contain three resale components and one shop tool, and those four items have three different tax treatments. Booking it as one lump is the specific failure we are hiring against.
  • The quarterly sales-and-use-tax figures tie exactly to the purchases in the books. Underreporting is not an accounting inconvenience; it carries penalties, interest, and personal exposure for a responsible officer.
  • The books are built to survive examination. The reconciled P&L, balance sheet, and chart of accounts should hold up if an outside CPA, or a taxing authority, walks them line by line. Accurate records are the entire defense.
  • Your work will be checked, and that is the point.
An independent CPA firm reviews procedures over these books annually. That is a feature of the job, not a threat: it is how we prove the work is sound rather than just asserting it. If you have ever been rushed into closing a month you knew wasn't right, this is the opposite of that job.
WHAT YOU'LL DO
Catch-up reconstruction (the first project):
  • Reconcile roughly 14 months of QuickBooks Online activity, from inception in June 2025 to present
  • Untangle early-stage 2025 expenses spread across multiple company cards
  • Work through the expense records with the CEO, transaction by transaction, and resolve what the paper trail doesn't answer on its own
  • Produce clean opening balances and a documented chart of accounts we can hand to a CPA Ongoing monthly close:
  • Reconcile all company card and bank accounts, plus payroll, every month
  • Categorize every transaction individually against its source document. Amazon and other multi-item orders get split to the line-item level and matched to the order receipt: no bulk rules, no vendor-level auto-categorization, no "same as last time"
  • Prepare and enter adjusting journal entries as part of the monthly close
  • Deliver a reconciliation report with each close, plus an open-items list of every transaction lacking documentation, listed rather than guessed at
  • Process accounts payable and accounts receivable; invoice entry, payment posting, and transaction tracking
  • Investigate and resolve discrepancies rather than plugging them Inventory, COGS, and California tax classification:
  • Track inventory and cost of goods sold from components through finished goods
  • Flag every purchase as one of: a component incorporated into product for resale; qualifying manufacturing or R&D equipment eligible for the CA partial exemption; a taxable item consumed in-house with use tax accrued; or a non-inventory operating expense
  • Produce a quarterly use-tax accrual schedule for our CDTFA return that ties exactly to the purchase records
  • Maintain resale-certificate documentation and the supporting records behind it
  • Reconcile sales tax collected against what we remit to CDTFA, per quarter Working with the outside firms:
  • Prepare reconciled books for handoff to our tax preparer
  • Support an annual Agreed-Upon Procedures engagement by an independent CPA firm; your work product is what gets examined
  • Attach receipts to transactions in QuickBooks Online so the documentation trail survives an exam
WHAT WE'RE LOOKING FOR
Required:
  • Per-transaction reconciliation discipline. You reconcile against source documents rather than categorizing in bulk, and you can describe how you handle a mixed-purpose order. This is the single most important requirement on this list
  • 3+ years of full-charge bookkeeping, or 5+ years of bookkeeping and accounting-support experience, including ownership of a monthly close
  • Recent, hands-on professional experience with QuickBooks Online. This is our ledger and it stays ours
  • You produce books that tie out: a reconciled P&L, balance sheet, and chart of accounts that hold up to line-by-line examination by an outside CPA
  • Working knowledge of California sales and use tax: resale certificates, the manufacturer/reseller position, use-tax accrual, and quarterly CDTFA returns that reconcile exactly to the underlying purchases
  • Receipt-level documentation habits. You attach source documents as you go and you flag what's missing instead of guessing
  • Comfortable working on-site in Azusa and asking the CEO direct, specific questions about transactions you can't resolve from the paper trail. The person who quietly guesses is the person who costs us money
  • Willing to have your work examined annually by an independent CPA firm
  • Proficiency with Microsoft Excel
  • U.S. Person as defined under 22 CFR 120.62
  • Able to work on-site in Azusa for the full engagement Strongly preferred (any combination):
  • CB (AIPB) or CPB (NACPB) certification. A verifiable, tested credential covering adjusting entries, error correction, payroll, depreciation, and inventory
  • CPA, EA, or experience working inside a CPA firm, or a track record of producing books that a CPA signed off on without rework
  • Audit, review, compilation, or Agreed-Upon Procedures support. You have had your own work examined by an outside party and it held
  • Inventory, COGS, or job-costing experience. Manufacturing, aerospace, electronics, or construction backgrounds all translate directly
  • Experience with the CA partial manufacturing exemption (RTC 6377.

) and with defending a resale-certificate position
  • Experience cleaning up a backlog of books with activity spread across multiple cards and accounts
  • You have caught an underreporting or misclassification exposure before it reached a filing
  • Familiarity with common payroll and payment-processing platforms as bookkeeping data sources
  • Comfortable using automation or AI tooling to speed up the mechanical parts of the work while personally standing behind every number that ships. We are an AI-forward company and expect the same leverage here, but the tool assists you, it does not replace your judgment
  • Multi-entity bookkeeping
  • Associate degree or higher in Accounting, Business, or a related field
Bonus:
  • You have supported a set of books through an IRS or state examination and they held up
  • You've cleaned up a set of books nobody wanted to touch, and you were the reason it closed
  • Early-stage or startup experience. You know what the first eighteen months of a company look like from the inside
  • You have built your own checklists, workpapers, or close procedures rather than inheriting someone else's
  • Genuine curiosity about what we're building PERKS
  • Paid:
    $20/hr, up to 40 hrs/week. We will take the right person full-time; part-time is workable if that is what fits
  • Real ownership. You are the financial record of the company, not a task queue. The catch-up you deliver is what our CPA signs against
  • Direct access to the CEO. The answers you need come from the person who spent the money, in the same room
  • Time to be exact. You are not carrying hundreds of clients here. You have one set of books and a mandate to get them right
  • A defined first project. The 14-month catch-up has a clear end state, so you know what success looks like in month one
  • A company that takes this seriously.

ITAR / EXPORT CONTROL NOTICE ELDAEON
develops technology subject to U.S. export-control regulations, including the International Traffic in Arms Regulations (ITAR) administered by the U.S. Department of State's Directorate of Defense Trade Controls (DDTC). ELDAEON is a registered DDTC manufacturer (M53536). This role is restricted to U.S. Persons as defined under 22 CFR 120.62 (U.S. citizens, U.S. lawful permanent residents, and protected individuals under 8 U.S.C. 1324b(a)(3)). Unlike our engineering roles, the restriction here is not scope-limitable. Bookkeeping requires access to the bill of materials, vendor relationships, component pricing, and purchasing records across the whole platform. That record set cannot be partitioned away from controlled technical data, so the requirement attaches to the role itself rather than to an assignment made at offer stage.
Access is least-privilege and account-based:
