Job Summary:
The Accounts Payable/Purchasing Clerk will be responsible for overseeing the entire accounts payable process, processing bi-weekly check runs, manual checks as requested, ensuring accurate and timely processing of invoices, and maintaining vendor relationships. Responsible for supporting the organization's purchasing activities by processing purchase requests, obtaining quotes, and inventory of supplies. This position ensures that purchases are made in accordance with the approved budget and applicable organizational procedures. This role requires a strong understanding of accounting principles, strong organizational skills, and the ability to prioritize multiple requests.Accounts Payable Duties/Responsibilities:
Manage theAccounts Payable Process:
Oversee the entire accounts payable function including invoice processing, payment approvals, and disbursements.Invoice Coding:
Ensure proper coding of invoices to the general ledger accounts, maintaining accuracy in financial reporting.Vendor Relations:
Maintain positive relationships with vendors, addressing and resolving any issues or discrepancies in a timely manner.Credit Card Transactions:
Receive and review credit card receipts, invoices, and supporting documentation from cardholders to reconcile with statement.Financial Reporting:
Prepare and review accounts payable reports, including aging reports, expense reports, and credit card reconciliations.Record Maintenance:
Maintain filing and scanning of all AP records, disbursements, and reports.Audit Support:
Prepare documentation and provide support during audit, both internal and external as requested. Other duties as assigned.Purchasing Clerk Duties/Responsibilities:
Supplies:
Maintain and purchase office supplies for all agency departments to support continuous business operations.Staff Wellness:
Order monthly snacks, supplies as needed for events or activities.Orders:
Place orders for supplies, equipment, materials, and services authorized by management.Order Tracking:
Track orders and follow-up with vendors regarding outstanding or delayed orders.Purchasing Activity:
Monitor purchasing activity to ensure expenses are charged to the appropriate department, program, contract, or grant.Compliance:
Ensure purchases comply with the organization's policies and procedures, funding requirements, contract requirements, and applicable purchasing regulations. Other duties as assigned.Required Education and Experience:
A minimum of 3+ years of experience in an Accounts Payable role, preferably within a non-profit organization. A minimum of 2+ years of experience in a purchasing role. Proficiency in accounting software QuickBooks Online, Outlook, especially Excel.High School Diploma or Accounting CertificationKnowledge:
Strong understanding of accounting principles, general ledger, accounts payable processes, purchasing processes, and relevant regulations.
