Construction Bookkeeper Precision Custom Construction, Inc. Job Summary Precision Custom Construction, Inc. is seeking an experienced Construction Bookkeeper / Office Manager to manage the day-to-day bookkeeping and administrative side of our construction company. This position is responsible for QuickBooks, payroll, accounts payable, accounts receivable, job costing, insurance administration, employee records, contracts, billing, reconciliations, and general office organization. Construction bookkeeping experience is strongly preferred. This position does not involve construction estimating, takeoffs, or bid pricing. Responsibilities Maintain accurate company books in QuickBooks. Enter and categorize bills, expenses, deposits, and payments. Assign labor, materials, equipment, and other expenses to the correct construction project. Manage Accounts Payable and Accounts Receivable. Prepare monthly customer invoices and construction billing packages. Prepare and review AIA billing when required. Track retention, outstanding invoices, and collections. Include approved change orders in project billing. Prepare and track lien releases and preliminary notices. Review employee timecards daily and correct missing or inaccurate entries. Process payroll, reimbursements, child support, and other garnishments. Maintain employee payroll and onboarding/offboarding records. Reconcile bank accounts and company credit cards monthly. Collect and organize employee receipts and project-related expenses. Monitor company bank balances and upcoming payments. Maintain vendor records, W-9s, invoices, and payment information. Review company Profit & Loss, Balance Sheet, A/R Aging, and A/P Aging reports. Maintain accurate construction job-cost reports. Coordinate with the company CPA for financial reviews and year-end accounting. Maintain company insurance policies and renewal dates. Request Certificates of Insurance as required for construction projects. Assist with General Liability and Workers' Compensation insurance audits. Maintain company software subscriptions, memberships, and recurring expenses. Review new construction contracts for billing, insurance, and administrative requirements. Maintain organized project and company records in Dropbox and QuickBooks. Communicate with general contractors, vendors, employees, insurance representatives, and the company accountant. Assist ownership with general office and financial administration. Qualifications 3+ years of bookkeeping or accounting experience preferred. Construction bookkeeping experience strongly preferred. Strong QuickBooks experience. Experience with Accounts Payable and Accounts Receivable. Payroll processing experience. Experience with bank and credit card reconciliations. Understanding of construction job costing. Familiarity with AIA billing, lien releases, preliminary notices, and retention is preferred. Experience with construction insurance and Certificates of Insurance is preferred. Microsoft Excel, Outlook, and general Microsoft 365 experience. Strong organizational and communication skills. Excellent attention to detail. Ability to work independently and manage multiple deadlines. Ability to handle confidential financial and employee information. Ideal Candidate We are looking for someone who is proactive, dependable, highly organized, and comfortable taking ownership of the bookkeeping and administrative side of the company. The ideal candidate understands construction accounting and can keep payroll, billing, expenses, job costing, insurance, and financial records accurate and up to date without requiring constant supervision.
